A fantastic opportunity for an experienced Office Manager to join an established company is Beaconsfield 4 days a week.
**Your new role**
As the Office Manager you will:
- Manage the receptionist and reception area, supporting and covering when needed, ensuring staff and visitors are welcome and have access to everything they need.
- Develop and maintain a good relationship with the building's subtenant and ensure health and safety and security protocols are being followed and the subtenant has access to all the information they need.
- Manage maintenance schedules and set routine programmes of work, including cleaning, bin collection, building and grounds maintenance.
- Manage contracting staff, monitoring and reviewing all relevant contracts and services, ensuring they are fit for our needs and the office remains safe.
- Manage warranties and licences - tracking and processing the printer leases, copyright licence and TV licence.
- Provide administration support to Head Office staff, when required, ensuring administrative tasks convey a professional image, using correct letterheads and tasks are completed by specified deadlines.
- Oversee the management of parking and parking permits at Head Office, having full knowledge of the parking Terms and liaising with the appropriate companies when applicable.
- Manage the expenditure on typical office overheads, reviewing quotes, placing orders and raising PO's. Keep record of all items within the sphere of responsibility and track payments of Head Office invoices, responding to queries when necessary.
- Maintain personal health and safety whilst at work by following company guidance.
- Manage building maintenance requests, arranging and overseeing repairs through to completion. Highlighting building issues to Head Office staff and maintaining good communication regarding works.
- Ensure the safe and efficient operation of all health and safety equipment including premises-related mechanical, electrical, heating services and other plant.
- Ensure that all statutory elements of health and safety are in place. Regularly reviewing numbers of first aiders and fire marshalls, identifying volunteers and help to arrange training.
- Attend health and safety training as needed and maintain the minimum level of qualification the position requires.
- Support team members with personal development and learning, including playing an active role in apprenticeships and development plans, reviewing and assessing progress and enabling success.
- Manage the performance of the team, 121s and appraisals.
This is a small team therefore there is an expectation that all team members will back-fill duties and support other team members when necessary to ensure consistency of service.
**What you'll need to succeed
Experience
- Track record of office management.
- Management of a small team.
- Managing contractors and other third-party providers.
- Liaison with Local Authorities, Police and Fire Services.
- Knowledge of statutory health and safety requirements.
Skills and Qualifications
- Relevant Office Management qualification or training.
- Current first aid qualified (nice to have and will provide training)
- Planning and Project Management Skills.
- IT literate and able to use all Microsoft Office packages (Outlook, Word, Excel, PowerPoint)
- Uses initiative to resolve issues
