**Job Role: To provide full administrative and operational support to the Centre Manager**

**Job Responsibilities - Key Performance Areas**:

- Deal with all administrative and correspondence requirements of the Centre management team;
- Assist the Centre Management team in the maintenance of proper budgetary controls by the proper operation of administrative and accounting procedures;
- Maintain a comprehensive understanding of Realm’s procedures, using this knowledge to process invoices, petty cash, correspondence, etc;
- Ensure timely collection and inputting of turnover data into the Retail Advantage System;
- Maintain good practice in office procedures, working with the Centre Management team to maintain efficient filing systems, keep accurate records and ensure continuity of all systems;
- Deal courteously with incoming telephone callers and direct them appropriately;
- Deal with incoming and outgoing mail;
- Ensure that any visitors to the Centre Management offices are dealt with courteously and efficiently and directed according to their requirements;
- Maintain sufficient stocks of stationery
- Keep up to date with current legislation, e.g. regarding Health & Safety;
- Carry out fire and evacuation duties as requested.
- Act on own initiative, within defined areas of responsibility.
- The control and organisation of day-to-day work lists for contractors.
- Collate all car park data and update on Retail Advantage and relevant spreadsheets.
- In conjunction with the Centre Manager, implementing a programme of planned preventative maintenance for the building, its plant and equipment.
- Ensuring that works completed on site are conducted with due regard to the health and safety requirements, and any other relevant site regulations, alongside the Centre Manager.
- Accurate collection and collation of all landlord energy consumption data and upload on to Risk Wise.
- Implementation & management of efficient waste disposal and recycling arrangements alongside the Centre Manager.
- Assist in attaining and upkeep of relevant environmental accreditation e.g. ISO 14001:2015 and 45001:2018
- Carry out Duty Manager role on agreed weekends (covering annual leave).
