**JOB DESCRIPTION**
**JOB TITLE**:GP RECEPTIONIST/SECRETARY
**GRADE**:HIGHER CLERICAL OFFICER
**BASE**: HEALTH CENTRE
**ACCOUNTABLE TO**: PRACTICE MANAGER
**RESPONSIBLE TO**:DR PRATHEEP SUNTHARAMOORTHY
**MAIN DUTIES**
**1.** Reception work as required, including but not exclusively:
a) receive patients and direct to appropriate surgery:
b) prepare notes; for Dr’s, Practice Nurse, Health Visitors & any other member of Primary Health Care Team
c) make appointments for future surgery using computer & appointment book
d) note requests for visits, get out appropriate patient notes and arrange for doctor to call;
e) file away notes at the end of surgery and any hospital letters, test results etc
f) each receptionist is responsible for keeping their medical records in order.
g) Register new patients
h) Attach and Scan letters onto the patient electronic record and code
**2.** To provide clerical back-up to any one of the Primary Health Care Team, e.g. HV, DN.
**3.** Registration of new patients
- Register new patient on the computer
- Follow up any queries from the HA if registration is not accepted and rectify as notified by ‘Non-core’ responsible person
- When MRE arrives - arrange notes in chronological order and give to doctor for summarising.
- When patient leaves deduct patient appropriately and send MRE when requested.
**4.** Ensure that Doctor’s rooms are clean and tidy. Sufficient supply of stationery is available.
**5.** To attend staff meetings when necessary
**6.** To provide cover for other work colleagues when necessary - sick leave or annual leave
**7.** To be willing to attend any necessary training sessions to improve the quality of work
**8.** The post holder is required to make positive efforts to promote his/her own personal safety and that of others by taking reasonable care at work by carrying out requirements of law or following recognised codes of practice and co-operating with any safety measures provided or advised by the employers to ensure safe working.
**9.** Employees of the Health Centre must not; without prior permission, disclose any information regarding patients. In instances where it is known that members of staff have communicated information to unauthorised persons, those members of staff concerned will be liable to dismissal.
**10.** To be responsible for opening and closing surgery premises in rotation with other members of staff ensuring that the building is secure, checking heating and restoring telephone services.
**11.** Opening and circulating post and courier for all members of the Primary Health Care Team.
**12.** Receiving patient’s requests for repeat prescriptions and processing them.
**13.** Repeat Prescriptions
Reorder and amend records
**14.** Arranging transport/ambulances for patients, when requested by doctor.
**15.** Update patient records with change of address, telephone nos etc, on regular basis.
**16.** Follow up of defaulter to Asthma/Smear clinics etc i.e. contacting them to come to surgery, when requested by Doctors/nurses or colleagues
**17.** Keep a check on stationery and record when running low. Order general NHS supplies
**18.** To make tea/coffee for Doctors and members of Primary Health Care Team
**19.** Replenish catering supplies, by purchasing coffee, tea, biscuits etc, obtain refund and store supplies.
**20.** The post holder should be prepared to be flexible in attitude to work and willing to undertake other duties, within reason, if asked by the manager/doctor.
**21.** Leaving reception area tidy and ready for next shift with all information being passed over to the next shift.

**22.** Use computers and other IT equipments per practice policy.
**23.** Keep/maintain list of fees and What for it is allowed with input
from practice manager and doctor.
**24.** Keep and maintain useful leaflets like practice leaflet, Healthy diet,
Stop smoking advice leaflets.
**25.** Take part in smooth running of all clinics e.g. Doctor, Nurse, Health
Care Assistant.
**26.** Maintain useful routines like address book, petty cash book, order
necessary home aids for patients, Chaperone during examinations,
assist in emergency situations, know about first aid facilities,
awareness of Local Services other than GP surgery like Primary Care
Clinics and Colleagues, Holiday diary, Training diary, Minutes for meeting when necessary.
**Most Important and Above All, when not sure, Please ask Practice Manager, Doctor or Colleague.**
**Saying something can not be done may not be the best service to the patient unless you are very sure.**
**This Job Description may be modified from time to time.**
