Working within the Accounts Payable and Ordering team based at Stella House, the role of Finance Officer will support and contribute to a wide variety of payments we make to NHS clients and suppliers. Meeting KPI and service standards as agreed with clients is our priority, therefore experience of meeting deadlines, attention to detail and accuracy are important skills to bring to the role.

The Finance Officer role is essential in supporting the payments we make to various NHS schemes, including NHS Student Services, Social Work Bursaries and NHS Learning Support Fund.

Working as part of the Accounts Payable and Ordering team within Corporate Finance, the Finance Officer will play a key role in processing supplier invoices, maintaining accuracy and following strict procedures in line with anti fraud and VAT legislation.

**In this role, you are accountable for**:
Ordering and Accounts Payable

Input and maintain supplier details on the accounts payable system. This will include ensuring the validity of the supplier details using a range of techniques, complying with NHS anti-fraud protocols and ensuring an audit trail is maintained. Discrepancies with supplier details will be fully investigated and issues resolved or appropriately escalated as required

The accurate and timely input of supplier’s invoices and credit notes. You will be required to ascertain the appropriate signatory to ensure the approvals are in line with Standing Financial Instructions (SFIs), the Scheme of Delegation and analyse the type of spend, to ensure the correct VAT treatment is made in line with HMRC NHS VAT legislation

Creation of Purchase Orders, ensuring that the appropriate processes have been followed and all approvals are in place. Adhering to the Commercial procurement process, making decisions on the appropriate route for purchases, rejecting and advising where necessary.

Receive, log and respond to queries from suppliers, members of staff, and hosted/managed services agencies where there may be issues about non-payment or other sensitive queries. Use knowledge of systems, processes and legislation to investigate discrepancies and issues and use own judgement to resolve or escalate where necessary.

Reconcile and enter manual payments into purchase ledger, ensuring correct supporting documents and approvals have been attached for compliance. This includes analysis of the monthly credit card statements, direct debits, and ad-hoc faster payments/CHAPS.
