This post holder will be responsible for taking notes and creating minutes of meetings. The postholder will be expected to accurately document discussions, decisions, and resolutions in a timely manner; and maintain records of all proceedings. This includes accurately documenting discussions, decisions, and action items. The postholder will be responsible for providing typed copies of the meeting minutes and maintaining confidentiality regarding any sensitive topics discussed.
The post holder must have excellent written communication skills and the ability to capture information accurately and concisely. Assist the Trust Secretary with the preparation of papers for the Board of Directors, and other committees as required. Provide assistance to the Private Secretary with general administrative duties including photocopying, filing, typing letters, maintenance, and retrieval of records. The principal duties of the role are: Collaborate with other administrative staff to schedule meetings of the Board and its committees to facilitate the submission of papers in a timely manner.
To attend meetings and take accurate minutes of discussions and decisions. To produce an action note of all decisions within three working days of the meeting and that actions are then followed up to completion. To produce an accurate record of meetings attended within five working days of the meeting. The postholder must maintain the confidentiality of all meetings, correspondence, reports and submissions and any discussions at the meeting.
File and distribute minutes as instructed, and destroy all notes taken upon the minutes being approved as a correct record. Maintain all electronic records of any matters submitted to meetings. Provide any administrative support as required to assist in the setting up and successful outcome of the meeting or other administrative tasks as needed. The post holder will establish and maintain strong and effective collaborative working relationships.
