An opportunity has arisen for a permanent Band 3 Administrator to work within the Neurosurgery administration team. The post holder will provide comprehensive high quality admin and clerical support. The role requires the post holder to use their initiative and skills to ensure the effective provision to quality of service. As part of the team the post holder will provide support to the neurosurgery admin team. They will also play a key central role within the service and are required to work in close liaison with their NHS colleagues,

Working for our organisation

The regional neurosurgical unit at the Queens Medical Centre is now one of the busiest neurosurgical departments in the country. We provide both adult and paediatric services to a wide regional area of Nottinghamshire, Derbyshire, Leicestershire and Lincolnshire with catchment population of around 3 million.

Detailed job description and main responsibilities

**Main duties of the job**

Using Medway PAS or any other relevant electronic booking systems arrange appointments for new and follow up clinics, as instructed by the directorate management team admin/medical/nursing staff.

Responsible for adding/removing patients to the NUH waiting list and co-ordinating/booking their admission to hospital, using hospital IT systems e.g. Medway, NOTIS

Typing of clinical correspondence

Reduce and cancel clinics

Ensure RTT patient data is accurate at all times

Arrange transport as necessary

Ensure Referral to treatment patient data quality is accurate at all times.

Deal appropriately with enquiries, by telephone and in person, from staff and the general public, seeking advice or referring elsewhere if necessary.

Manage the demand and capacity within the standard operating practice taking decision to escalate to the directorate management team any capacity issues

Ensure all referrals are logged and booked in a timely manner meeting the standards in the NUH Access Policy.

Responds to any temporary day to day demand and capacity updates required in Medway

Print appointment/procedure confirmation letters as necessary and send to patients with the relevant information leaflets promptly.

Keep personally updated and be able to advise patients in relation to peripheral services available, i.e. transport, interpreting services etc.

Notify the designated person of any patients who fail to attend their appointment who will take necessary action in line with department and/or Trust policies.

Receive and respond to enquiries from relatives/external agencies adhering to Trust confidentiality guidelines at all times

Distributing and opening incoming mail in a timely manner and dealing with appropriately.

Be able to competently use Medway PAS and other information technology systems and participate in training programmes to develop and update personal skills to meet the needs of the department.

Present a professional, polite and courteous attitude at all times and be appropriately dressed when on duty.

Undertake any other duties which may reasonably be required.
