**Reports to**:Administration Manager

**Hours**:Full Time - 37.5 hours per week over 5 days

**Salary**:£11.56 per hour (plus NHS Pension + Enrolment into Private Healthcare Scheme)

**Job Summary**

The Senior Administrator will be responsible for overseeing the day-to-day operations of the Admin Team. The role will involve ensuring standards are met and ensuring a professional and friendly service for all patients.

You will ensure that, in addition to undertaking your own workload, staff are in place and have the tools to deliver the service. You will work closely with the Administration Manager to develop efficient processes and continually improve the services we offer.

This is a varied role which will require you to work with others providing support, but also individually on projects and day to day tasks.

**Responsibilities**:
General Duties
- Undertake day-to-day supervision and support the Administration Team
- Plan work logically in order to complete tasks within specific time frames
- Plan and organise own workload despite frequent interruptions
- Ensure Practice procedures are effective and efficient
- Keep the Administration Manager informed of any potential problems or issues that may arise
- Liaise with other Practice staff effectively with regard to administrative issues
- Contribute to the continuity of the Administration team by carrying out other duties when staff are on leave etc.
- Use a high level of initiative and act independently and make appropriate decisions when necessary.
- Attend management meetings where necessary
- Ensure that all queries from patients are handled efficiently and courteously
- Train staff on new topics or who are new to the surgery
- Keep surgery premises today and safe at all times
- Maintain patient confidentiality at all times
- Take ownership of and develop 3 key projects within the Administration department
- Improving the quality of Docman Workflow to reduce errors.
- Create and implement a full ‘Patient Triage’ service using Accurx
- Take ownership of the Practice’s QOF Recall system, and delegate as necessary to achieve targets.

Overall Responsibility
- Undertake any other appropriate duties or responsibilities as directed by the Administration Manager, Practice Management and GP Partners
- To ensure effective communication with all clinicians and other practice and community staff based at the Surgery
- Be aware of, and adhere to, Practice policies in relation to health and safety at work and fire precautions.
- To attend appropriate training courses

Confidentiality
- In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately
- In the performance of the duties outlined in this job description, the post-holder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential
- Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data

Health & Safety

The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the practice health & safety policy, the practice health & safety manual, and the practice infection control policy and published procedures. This will include:

- Using personal security systems within the workplace according to practice guidelines
- Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
- Making effective use of training to update knowledge and skills
- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
- Actively reporting of health and safety hazards and infection hazards immediately when recognised
- Keeping own work areas and general / patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holder’s role
- Undertaking periodic infection control training (minimum annually)
- Reporting potential risks identified
