An exciting opportunity has arisen within the Anticoagulant Clinic for an administrator.

This role involves advising patients on various aspects of their anticoagulation care, and giving warfarin education counselling.

The clinic uses 4S DAWN Anticoagulation. Full training on this system will be given.

The post is full-time (37.5 hours a week).

Knowledge and experience of Microsoft Word, Excel and PowerPoint is essential.

They should have effective communication skills and experience in dealing with patients and their relatives/carers over the phone.

**Main duties involve the following**:

- Dealing with new referrals and registering patients onto the DAWN system.
- Telephoning patients with their warfarin dose advice.
- Documenting minutes for meetings
- Maintaining clinic audits monthly and collating data.
- Managing patients on our non-attendance and suspended lists.

The Royal Berkshire NHS Foundation Trust is one of the largest District General Hospitals in the country. The hospital achieved Foundation Trust status on 1st June 2006. It was the first Foundation Trust in the South Central Strategic Health Authority. The Trust has a successful track record of delivering high quality acute medical and surgical services for 500,000 patients across West Berkshire, an area extending from Newbury in the west to Henley-on-Thames in the east, and including Wokingham and parts of Hampshire to the south and parts of Oxfordshire to the north. 1. Undertakes education of patients and their families either face-to-face, or via the telephone with regards to anticoagulation and how the clinic operates in delivering dosage instructions.
2. Performs telephone duties that include making and receiving calls to and from the department, verbally transmitting confidential results and conveying complex sensitive information and advice to hospital clinicians, GPs, patients and their representatives, other healthcare professionals and external agencies in line with departmental policies.
3. Generates computer reports and is responsible for the setting up and maintenance of filing systems.
4. Is responsible for ensuring the security of patient information in line with data protection and confidentiality guidelines.
5. Displays and maintains an appropriate level of IT skills. Is able to input, maintain and update patient records as required.
6. Acts as point of contact for GPs, hospital doctors and other clinical and staff as required. Exercises own initiative in the resolution of queries, referring to clinical and scientific staff where appropriate.
7. Utilises the laboratory and hospital databases for clinic management. Is responsible for requesting, tracking and dispatching patient records, for verifying patient details and booking clinic appointments.
8. Is responsible for monitoring patient attendance and for following up non-attendees.
9. Is responsible for ensuring the quality and accuracy of data to include verifying data entered or generated by other members of staff.
10. Is responsible for the organisation of formal meetings, to include preparation of agendas, transcription of minutes, collation and distribution to staff both internal and external to the department.
11. Creates letters, documents and reports. Demonstrates proficiency in touch typing.
12. Creates complex documents using sophisticated software packages. Includes advanced word processing, spreadsheet design, preparation of presentations and lectures using Power point and computer graphics, website maintenance.
13. Collates clinical and quality management information for audit purposes.
14. Inputs results from referral laboratories. This includes receiving verbal reports via telephone, requiring complete accuracy and attention to detail.
15. Monitors turn around times for referred tests and is responsible for following up outstanding results.
16. Maintains adequate stocks of stationery and office supplies, ensures efficient use of resources. Generates orders and liaises with external suppliers as appropriate.
17. Assists with procurement procedures by raising purchase orders. Prepares invoices for authorisation and payment by checking against delivery notes and goods received notes.
18. Ensures relevant equipment is in full working order, performs trouble-shooting and liaises with service engineers when appropriate.
19. Assists with receipt of goods and welcomes visitors to the department.
20. Responsible for the timely dispatch of correspondence to patients and their healthcare providers.

**Role Responsibilities**:
21. Works to achieve competencies across the repertoire of the department as appropriate to grade.
22. Communicates effectively with other staff groups both internal and external. To include healthcare professionals, transport and portering services, patients and their representatives, commercial suppliers and other external agencies.
