For full details about this varied and rewarding role, please see attached job description, but some of the responsibilities include Provide a general reception for the pharmacy department, receiving all visitors in a professional manner Answer telephone calls and direct them to the most appropriate member of staff, ensuring all calls are handled in a timely and efficient manner Communicate effectively with members of the pharmacy team, nursing staff, patients and suppliers, both face to face and on the telephone. Assist in couriering administration and make phone calls to patients with regards to medication deliveries. Receive, sort and distribute mail. Arrange meetings, prepare agendas, notices, minutes and resulting action plans for a range of pharmacy senior managers meetings.

To undertake minute taking Undertake general office duties such as photocopying, laminating, binding and filing Update and maintain eRostering with approved annual leave, lieu time and absence under the direction of a senior manager. Book locum and bank shifts on eRostering under the direction and supervision of a senior manager Produce and maintain departmental rotas using predefined rules. Update and maintain departmental spreadsheets and other records Assist in dispensary expiry date checking Assist in undertaking pharmacy audits Assist in stock checks of non-drug items including controlled stationery e.g., FP10 prescriptions and controlled drug registers and maintain accurate records. Identify and suggest improvements within the department.

Take part in general housekeeping duties as required. Undertake any other reasonable duties the Pharmacy Office Manager, senior managers may allocate from time to time. Order stationery and other goods for the pharmacy service, ensuring cost effective procurement of supplies and maintenance of stock levels. Ensure safe supply and distribution of outpatient prescription forms across the Trust site.

Maintain all documentation relating to supply. Undertake quarterly health and safety and fire audits and maintain department records. Not a requirement of this post No clinical duties with this post. Adhere to all Trust Policies and guidelines appropriate to the role.

Implement Trust policies and procedures and changes to working practices appropriate to area of work. The post holder will support the division on reduction of spend. Input and maintain information into electronic departmental diaries. Run pre-designed reports on a regular and ad-hoc basis as requested by senior managers.

Understand the importance of and be capable of handling confidential information. Where any processing of information takes place (paper records or electronically) ensure the data is of good quality, accurate and relevant for purpose. Maintain and update the electronic recording of pharmacy sickness and absence records, ensuring confidentiality is maintained at all times. Maintain personal electronic records for all staff, ensuring confidentiality is maintained at all times.
