The post-holder is responsible for ensuring that the Chief Executive and Chair receive a comprehensive and high-quality business management, administrative and secretarial support service.

**Description**
Ensure that the Chief Executive (and Chair) receive a high quality administrative and secretarial support service.
- Manage the financial resources for the office of the Chief Executive, ensuring that expenditure is maintained within budget.
- Take line management responsibility for the Executive Assistant to the Chief Executive and Chair.
- Co-ordinate all the activities of the Chief Executive in line with the annual governance
cycle of the Trust. This will involve attending and minuting the weekly meetings of the Executive Directors team - ensuring that there is effective co-ordination between the work of the Executive team, the work of the Trust Management Group (TMG) and the activitiesof the Joint Leadership Forum (JLF).
- Oversee the production of the regular Chief Executive report for the bi-monthly public UHD board meeting.
- Through close liaison with the Communications Department, support the Chief Executive in maintaining proactive corporate communications, both for internal and external purposes. This will include preparing presentations, reviewing complex documents and providingshort summaries/briefing papers for the Chief Executive. It will also include working with colleagues to ensure the smooth running of a variety of corporate and public engagement activities/events.
- Deal with complaints and concerns on behalf of the Chief Executive and Chair, ensuring that these are all managed in line with the Trust policy.
- Regularly take action to resolve a wide variety of different problems, working with other senior staff both internally and externally, on behalf of the Chief Executive.
- Attend meetings with the Chief Executive as required, ensuring that an appropriate record is maintained and that agreed actions are followed up.
- Ensure that the Chief Executive is kept appropriately briefed with regards to changing/conflicting priorities, and emerging issues that need attention.
- Ensure that all those working within the office of the Chair and Chief Executive comply with appropriate Trust policies, procedures and guidelines.
- Project manage designated initiatives on behalf of the Chief Executive.
- Manage the organisation of large 'host' events in conjunction with the UHD Communications Team and other senior colleagues e.g. conferences, visits (which could include members of NHS England and / or Parliament as well as the public) - inviting delegates,arranging speakers, booking rooms/venues, coordinating and preparing presentations, circulating papers.
- Provide advice/support to Chief Officers in maintaing/coordinating high quality administrative support
**Profile**
Demonstrable recent experience in management role, including business planning
- Demonstrable experience of data analysis and interrogation
- Experience in working with an Executive / senior staff in supporting significant organisational change and development programmes
- Experience of managing projects successfully
- Demonstrable track record in delivering complex targets and objectives to tight deadlines
- Experience of working within a complex and challenging environment, ideally healthcare
- Experience of processing and storing highly confidential and complex correspondence in a methodical, sensitive and secure way
- Demonstrable ability to prioritise effectively and manage conflicting demands
- Proven skills in personal time management
- Experience of taking and writing minutes, summarising discussions and writing reports
- Proven ability to deliver high standards of customer care
