**Background**:
The Foundation engages in a number of activities which include 1) providing different psychotherapy training opportunities, in the form of workshops, webinars, conferences and extended training (such as Diploma in Compassion Focused Therapy); 2) conducting and supporting international research projects; 3) supporting international initiatives in the promotion of compassion science to various social and political issues; 4) liaising with international trainers and collaborators to deliver training in Compassionate Focused Therapy and Compassionate Mind Training.

**Main duties**
- Organisational duties will include:_
- To act as a Personal Assistant to Professor Gilbert and Jaskaran Basran
- Plan and organise diaries, arrange appointments to manage time effectively.
- Coordinate meetings with the use of appropriate online technologies and meeting platforms
- Manage Professor Gilbert’s correspondence, ensuring prioritisation of required activities and projects.
- Ensure Professor Gilbert is briefed for engagements, collating meeting details/briefings in advance.
- Arrange travel, visas and accommodation as required.
- Liaise with external agencies in relation to the operations of the Foundation and work of Professor Gilbert.
- Support the coordination of events (such as conferences) including liaising with venues and speakers.
- Prepare documents and take minutes for internal and external (national and international) meetings.
- Interact with international colleagues and members of the general public in friendly and professional manner in relationship to foundation activities
- Support the activities of the foundation including generating ideas for improvements to deliver the mission statement.
- Support the preparation of documents (book manuscripts, academic papers, reports and letters) including proofreading, reference checking and formatting.
- Support the preparation of formal presentations (on PowerPoint).
- Source appropriate legally licenced pictures and videos for training materials.
- Maintain filing, organising and storing documents, ordering appropriate supplies
- Liaise closely and regularly with the team advising on any issues arising.
- Assist with the ongoing development of the Foundation and support other team members where appropriate.
- Working with the activities of the Foundation in a confidential manner.
- The role will involve liaising with an external specialist HR agency (Croner). Croner is contracted by the Foundation and responsible for providing advice and actions in relation to HR activities. The role will include acting as intermediary on behalf of Croner to support the follow duties:_
- Support the management team to follow key HR processes and procedures including probation review, appraisals, contract end dates
- organise relevant meetings, paperwork and taking minutes where appropriate.
- Support, update and implement existing handbooks and risk assessments.
- Support the design and implementation of employment benefits, such as bonuses, and pay rises.
- Support monitoring, updating and maintaining data on HR systems.
- Review learning and development needs of staff and develop training plans.
- Proactively work with the management team to determine effective HR processes, highlighting issues/concerns when appropriate.

**Skills and Requirements**
- Experience of successfully operating in secretarial, PA or administrative positions (minimum of 2 years’ experience)
- Knowledge and experience of HR practices and systems
- Relevant experience of office management systems and procedures
- Proficiency in MS Office including Outlook, PowerPoint and Excel
- Friendly and with good interpersonal and communication skills.
- Ability to multi-task and prioritise work
- Ability to take initiative and work independently
- Attention to detail and problem-solving skills
- Strong organisational and planning skills
- Proof reading skills
- Ability to work well within a team and independently.
- Offer appropriate support to other team members as required
- A genuine commitment to the aims of the Foundation

**Terms & Conditions**:

**Hours**:Full time (37.5 hours)

**Location**:Compassionate Mind Foundation office, Derby city centre and ability work remotely at times

**Hourly rate**: £15 per hour

**Job Types**: Full-time, Permanent

**Salary**: £15.00 per hour
