This newly created role is to provide administrative support and resource to the Head of HSE and their
team.
Key Accountabilities of the role
Identify the six to eight main things the job holder must do to make sure the main purpose is met. The
things and/or services which need to be provided. Ensure each accountability states what is done, to
what/whom and with what outcome (e.g., prepare, monitor, control the annual departmental
budget ensure expenditure is in line with the business plan).
Diary management, coordinating arrangements for meetings and conferences (internal and
external)

- Coordinating and booking travel arrangements and planning itineraries as required
- Produce documents, presentations and print to Executive meeting standards
Respond to routine requests for information and refer more complex requests as
appropriate

Answer routine questions and respond to correspondence not requiring manager's
attention.

- Attend meetings and take minutes and oversight of actions as required
Order and arrange payment of a variety of goods and services required by the relevant
managers

Organise and prepare complex documents requiring the integration of multiple office

Maintain and monitor departmental budgets ensuring prompt and accurate payment of
invoices and expenses

- Provide additional support to the wider HSE SLT as required i.e., event planning
Key Stakeholders
Identify the key stakeholders the job holder interacts with to fulfil their role (e.g., manager, peers within and
outside immediate team, subordinates, clients/customers, suppliers,). Ensure each key stakeholder states
obtain information, give advice, sell, influence, motivate, develop), and the frequency of the contact (e.g.,
daily, weekly, monthly).
- BGSS SLT - As required, diary arrangements, requests for information etc.
- HSE SLT Team - Daily, producing documents, PO's, event management etc.

Required Knowledge, Skills & Experience
Work Experience & Functional/Technical Skills requiredDescribe the experience and skills necessary to perform the role effectively. How much work experience is

- Strong Microsoft office experience and knowledge
- Power Point / Communication - experience with visual graphics
- MS Forms or similar for feedback questionnaires etc
Education and Certifications required to perform the role
Identify the level of education or certifications necessary to perform the role effectively (e.g., level and
5 or more RQF Level 2 certificates (or equivalent) including English language and
numeracy (example GCSE's).

Key Competencies/Core Capabilities required to perform the role
Describe key behavioural competencies and core capabilities necessary to perform the role effectively
(e.g., teamwork, customer focused, working with ambiguity, agility, planning).
- Experience of developing and collating data performance reports.
Ability to systematically and logically identify and focus on priorities to achieve targets and
manage multiple, competing workflows.

- Good planning and organisational skills with the ability to work under pressure.
High degree of competence in IT skills, e.g. use of Microsoft Office, excel and the ability to
learn new software and new systems where required.

- Good organisational, time management and problem-solving skills.
- Willingness and aptitude to learn new skills and to continually develop the role.
- Responding proactively and appropriately to the needs of Head of HSE and HSE SLT.
- Desirable criteria - health and safety experience.
