**JOB SUMMARY**
Reporting directly to the Vice President, Products & Services, the Coordinator’s primary responsibility is to support the Products & Services team to ensure organisational effectiveness and efficiency of the department. This includes scheduling, budget tracking, assisting with quotations/orders, tracking of departmental actions/processes, taking and following up on meeting minutes, and coordinating travel.

**KEY TASKS**

**Role & Responsibilities**:

- ** Scheduling** - organize the calendars of the VP Products & Services, Director of AV and Director of Retail
- ** Budget tracking** - update and maintain the department budget files, reconciling expenditures vs planned budgets, and communicating with stakeholders accordingly
- ** Invoicing **- work with the departments to ensure our invoicing is up to date at all times, and all relevant stakeholders are updated about department financial statuses
- ** Quotations/orders **- work with the departments on the administration of quotations and client orders
- ** Department actions **- work with the departments and leadership teams to ensure all department Time & Actions are completed on time, share statuses accordingly and liaise with stakeholders as required
- ** Meeting minutes **- take meeting notes as required and ensure all follow up actions are completed on time
- ** Coordinating travel **- coordinate travel bookings and arrangemetns as required for the Products & Services division in conjunction with the Global Travel team

**Qualifications & Skills**:

- Excellent communication skills
- Excellent time management skills
- Good understanding of Microsoft Office, particularly Excel
- Commercial awareness
- Good attention to detail

**Character & Attitude**:

- A “can do” attitude is a must, as is a tenacious approach to problem solving
- Methodical and organised
- A real team player

**Experience**:

- Administration experience is highly desirable
- Experience of a client-facing or customer service role is highly desirable
