Screening Administrator with Failsafe Duties

An opportunity has arisen in the established Retinal Screening Programme for an experienced administrator.
The post holder will be responsible for organising appointments for patients requiring diabetic eye screening and undertake general office duties. In addition, the post holder will assist the Failsafe Co-ordinator to perform failsafe checks on patients registered with the Bedfordshire Diabetic Eye Screening Programme who are under the care of Bedford and Luton Hospital Eye Service.
You should possess excellent communication skills and have the ability to deal with a high volume of telephone calls from members of the public. Therefore, the ability to remain calm under pressure is essential. You will also have a good standard of education and excellent keyboard skills and be an effective team player.

1. To answer the Diabetic Eye Screening appointment line, dealing with patients’ queries and making suitable appointments at appropriate venues for the patients. This includes re-arranging appointments at the request of patients, cancelling appointments due to service pressures and giving accurate and appropriate guidance to patients regarding the screening process
2. To ensure outcomes from ophthalmology consultations are entered onto the screening programme database and the Screening to Treatment Timelines.
3. Identify missing outcomes and investigate possible causes, escalating missing information to the Failsafe Co-ordinator.

1. To answer the Diabetic Eye Screening appointment line, dealing with patients’ queries and making suitable appointments at appropriate venues for the patients. This includes re-arranging appointments at the request of patients, cancelling appointments due to service pressures and giving accurate and appropriate guidance to patients regarding the screening process
2. To ensure outcomes from ophthalmology consultations are entered onto the screening programme database and the Screening to Treatment Timelines.
3. Identify missing outcomes and investigate possible causes, escalating missing information to the Failsafe Co-ordinator.
4. To identify patients who may have become lost to follow up and implement corrective procedures.
5. To assist in the completion of the Screening to Treatment Timelines.
6. To deals with telephone enquiries from patients and GP surgeries and make assessment of action required.
7. To offer advice to patients as to whether or not they should be attending screening clinics working within English National Diabetic Eye Screening Programme guidance
8. To validate patients information following the exclusion criteria, making sure that all necessary paper work is signed and filed in the appropriate place.
9. To discuss with patients the importance of Diabetic Eye Screening when they wish to Opt Out of the Screening Programme.
10. To liaise with GP surgeries and deal with enquiries about appointments referrals and results.
11. To ensure patients referred to the Slit Lamp Biomicrosopy clinics are given an appointment within the required timescales, reporting any breaches to the Programme Manager.
12. To liaise with administrative staff at the Programme’s 2 referral centres with regard to treatment and follow up of screening patients.
13. To attend and participate in Multi-Disciplinary Team meetings as and when required.
14. To contact other Diabetic Eye Screening Programmes in order to obtain the last result outcome for patients that have moved to the area.
