**Role**:To co-ordinate the provision of an efficient, accurate and professional service to the business, by providing excellent administration support, manage and maintain the full administration function of the Occupational Health & Wellbeing service including diary management of all external clinics, processing information, invoices, data entry and other general office duties whilst always maintaining security and confidentiality of information.

**Responsibilities**:

- To manage all enquiries relating to the booking of external clinics.
- Co-ordinate all health related appointments in line with key performance indicators and agreed turnaround times including management of waiting lists, scheduling, and booking of appointments and ensuring timely correspondence with all colleagues and all external key stakeholders.
- Provide day-to-day administrative support and undertake general administration tasks including all aspects of the Purchase Order/Invoicing/Billing process.
- Work closely with the Head of Service with regard work activities, programmes and initiatives and ensure Company policies, procedures and processes are followed as appropriate.
- Maintain confidential and accurate records both electronically and paper-based files.
- Operate with continuous improvement mindset and offer solutions and ideas to problems in a proactive manner.
- To carry out any other tasks and undertake training commensurate with this post.

**Requirements**:

- Previous experience within an administrative role would be advantageous.
- Excellent verbal and written communication skills with a passion for organisation.
- Flexible, adaptable and able to respond to changing demands from key stakeholders.
- Excellent attention to detail.
- Excellent time management skills.
- Ability to use own initiative and take a proactive, problem solving approach.
- Understands the need for confidentiality that is required within the role with experience of handling sensitive and confidential data.
- Be competent in the use of software packages including Microsoft Excel and Word.
- Willing and able to undertake non-OH related administrative support tasks.
- Ensure that teamwork is a priority, and this is demonstrated on a daily basis.
- Have the ability to guide employees and managers in a supportive manner whilst maintaining good working relationships and keeping within policy guidelines.

**Working Hours**: This is part time, permanent position working 25 hours per week, 9:30am until 2:30pm. This is also a Hybrid role that is mainly working from home with occasional visits to site.
