We are currently looking to recruit an **Admin Assistant** to join our Buying Team on a **maternity leave cover basis**. The role is a full-time role, 37.5 hours per week, and based at our Head office in Loughborough. We offer hybrid working that enables staff to work from home 2 days a week and in the office 3 days a week. Hybrid working will be available after the initial training / induction period.

**Key Responsibilities**:
**Master data input & maintenance**
- Request, chase and load NLF (new line forecasts), making sure NLF’s are correctly completed, adding forecasts to the system, request images and send to the Marketing Department. Links to be added to the scraper, new line forecasts to be reviewed after 12 weeks with supply chain
- Maintain product master data and communicate changes to the wider business
- Review master data reports to ensure all barcodes, pallet configurations and cost prices are correct, unusual margins, removing product links, managing product status
- Communicate to buyers of any master data errors to help identify suppliers who are providing incorrect information. Correct the information as necessary
- Monitor products on DNB by checking weekly stock levels, highlighting none movers to buyers, and tracking credits applied and deleting products as and when required
- Maintain housekeeping reports by requesting product specs/info for all existing products and check against the information loaded into swords. Update where required

**Promotions**
- Request, chase and load promotions on the evaluation tool
- Provide support on updating selling prices and margin
- Assist or run comparison shops
- Check competitor pricing (both standard and promotional) using website login and scraper tool
- Contact suppliers to enquire if they have any clearance opportunities (short dated stock / overstocks / residual film to clear etc). Communicate any opportunities to the relevant buyer

**Commercial**
- Ensure advertising monies and over-rider monies are invoiced on time and in full
- Request and update Forecasts/projections from suppliers as per the ORD time scales on a quarterly basis
- Group inbox to be monitored, responsibility to be taken for specified tasks. To provide holiday cover when needed
- Request samples, prices and basic information to follow up on potential new projects
- Issue new supplier paperwork to clients including guidelines/T&Cs, new supplier form, and NLF form
- Communicate a weekly report to our suppliers on volumes left in the Cash & Carry’s of any seasonal products
- Support the buyer with admin duties as requested, ensure all phone calls are answered both to their own direct line as well as their team

**If you are organised in your approach to your work, have an eye for detail and have a proven administration background then this role may be for you, you may or may not have had previous Buying experience, we can train the right person, but it would be advantageous but not a must. You will however have great communication and numerical skills and a good working knowledge of Microsoft Office systems.**
