**About The Role**:
We are looking for a part-time Reception/Site Assistant for the business as the first point of contact in the building and to support HR functions.

**You will**:

- Maintain a professional Reception Desk, both face to face and on the phone
- Provide a high-quality customer service for employees and guests
- To ensure the H&S procedures are met for the site reception area
- Demonstrate a proactive approach, taking ownership of the reception area and function
- Arrange and deal with couriers
- Support the wider HR Team including assessment centre and induction preparations, new starter PPE and clock cards, scanning and filing of paperwork, and booking, business communications.
- Support members of the business where necessary in regard to administration tasks
- Support Management teams by providing refreshments for meetings, general hospitality arrangements.
- To be responsible for procurement of all items required for Riley house including raising Purchase Orders

**Daily responsibilities will include**:

- Greet visitors that come into reception in a friendly and polite manner
- Ensure all visitors sign in on arrival and display their badge, and the host collects their visitor and signs visitors documentation (Food Handler Form).
- Make sure all visitors return their badge and are signed out when they leave
- Make sure signing in sheets are in place for the start of a new week where applicable
- Answer internal and external telephone calls and connect them to the relevant people, take messages and pass them on where necessary
- In case of a fire drill take signing in sheet and visitors book
- Sort and distribute all internal and external mail received daily
- Frank and send out all mail ready for collection time
- Ensure all administration is handled efficiently and relevant paperwork is copied and filed in an organised manner

**Weekly responsibilities will include**:

- File previous weeks sign in sheets for a record
- Induction preparations - including preparing the HR/ Food Hygiene and H &S pack, collecting PPE, programming clock cards, arranging the rooms and scanning certificates
- Arranging/Taking photo of new starter and forwarding onto recruitment/communication department
- Recruitment support - prepare assessment centre paperwork, set the room up, organise visitor PPE, scan results and certificates
- Manage the car registration log - adding new starters and liaising with security
- HR scanning of returned documents
- Update and refresh notice boards/TVs

**Ad Hoc**
- Ensure the franking machine is always credited and order new ribbons to replenish stock
- Book couriers as requested
- Distribute parcels which come in by courier
- Look after the AMK Managers e.g. making refreshments for a meeting
- Organise travel/taxis for Employees/Visitors as necessary
- Book meeting rooms if requested and prepare with refreshments as appropriate
- Order and distribute stationary when it arrives
- Order and distribute sundries (Tea/Coffee continually monitored and stocked)
- Any general shopping requirements needed for site
- Buy and/or prepare buffets for meetings
- Order flowers and gifts online when required
- Deal with Concur Expenses on any purchases made
- Organise social events and support with community links
- Ad hoc project work e.g. Print all photos on access cards, create visitor rules
- Provide cover for job share receptionist for holidays, absences etc.

NOTE: the above description does not necessarily itemise all jobs the job holder will be required to do.

**Food Safety**:

- To ensure food safety and quality related procedures are adhered to by all operatives.
- To ensure the production line is kept clean posing no risk of food safety.
- To ensure clean as you go policy is followed at all times.
- To ensure all food safety and quality standards are met relevant checks are completed in time.
- To ensure products are packed up to the food safety and quality standards as per the specification.
- To ensure that all product safety and quality related issues are dealt with and reported to the line manager.

**About You**:
This is a 16 hour contract, where there will also be a need to cover holiday as and when needed.
- Receptionist/Front of House Admin experience (1 year)

**Qualifications**

Essential
- High level written and spoken English, with a qualification ie GCSE being preferable
- Desirable
- Business Administration/Secretarial Course or Qualification
