**Executive Officer**

**The role**

We are looking for an Executive Officer to work closely with and support the CEO and the Senior Leadership Team to ensure the smooth running of the organisation. The Executive Officer will help to ensure that staff and volunteers (including trustees) deliver a quality service to clients and stakeholders.

This is a wide and varied role and will suit someone who thrives in a busy environment, enjoys using their own initiative and working independently and has a positive “can do” attitude.

There is also an opportunity for the postholder to develop the role, and themselves, into that of a Business (Support) Manager, within the relevant salary band and range, who will be part of the Leadership Team and have wider ranging responsibilities within the organisation.

**Role profile**

**Governance**
- Provide administrative support to the CEO on Governance issues supporting the Trustee Board and sub-committees, scheduling, attending and taking minutes at meetings as required and distributing agendas, associated papers and minutes. minutes
- Co-ordinate the Executive Calendar
- Assist with the organisation of the Annual General Meeting
- Help ensure that Trustees’ records are up to date
- Support the CEO and the Chair of the Trustee Board with the annual Citizens Advice Leadership Self Assessment process.

**HR administration**
- Assist with the administrative support required throughout the employee lifecycle including
- the recruitment and induction of paid staff and volunteers
- the administration of our HR Information System (currently BreatheHR) and ensuring records are up to date and accurately maintained
- overseeing the relevant actions associated with staff and volunteers who leave the organisation.

**Premises, Health and Safety**

Provide support to ensure that:

- office premises and outreaches are maintained in accordance with lease agreements
- Repairs and maintenance to the premises are fit for purpose
- Each office or outreach has the necessary services (eg cleaning, utilities) and provisions (eg stationery and refreshments) to ensure a safe working environment
- Health and Safety policies, procedures, induction and related training are implemented, risk assessments carried out to ensure compliance
- All staff and volunteers adhere to Health and Safety guidelines and have a shared responsibility
- Displays and noticeboards in the premises are managed in line with office standards.
- **Information Technology and Information Assurance**

Provide support to ensure that:

- Liaison with our IT Support provider for the management of the contract including the resolution of identified IT issues
- New users are provided with the necessary equipment and software
- The maintenance of the information asset register and IT equipment inventory.

**Other Duties**
- Contribute to the development and administration of our social media and fundraising platforms
- Contribute to the publication of promotional literature in accordance with the Citizens Advice brand, writing and communication styles
- Assist with the preparation and promotion of fundraising and outreach events and projects
- Support the Senior Leadership Team and Trustee Board as required.

**General**
- Ability to systematically manage a varied workload, prioritise and meet deadlines under pressure.
- A problem-solving attitude and ability to work on own initiative.
- Ability to write clearly and accurately and communicate effectively face to face and on the phone with a wide range of people.
- Excellent attention to detail and ability to deal with sensitive information with discretion and maintain confidentiality at all times.

**Governance**
- Ability to take minutes and/or notes of meetings.

**HR administration**
- Working knowledge of HR administrative processes.

**Premises, Health and Safety**
- Understanding of the health and safety obligations within the workplace.
- Ability to undertake risk assessments.
- Understanding of the various services and supplies required by the organisation.

**Information Technology and Information Assurance**
- Ability to work with colleagues to troubleshoot and resolve difficulties they are experiencing.
