**Job Role: Dental Administrator**

The post holder will contribute to and support the effective operation of the administrative functions of the Dental department by contributing to the operational activities of the Dental Team.

The post holder will work within the Dental department providing support in relation to key areas of work, to include study day programmes, the Continuing Professional Development calendar and recruitment of trainees and educators. The post holder will also support members of the dental team with key activities to ensure the effective and efficient delivery of administration in the department.

**Hourly Rate**: 37.5 hours per week (Monday to Friday)

**Salary**:£11.11

**What the role entails**:
To assist in the organisation and administration of the Study Day Programmes for the Northern Ireland Dental Training schemes which will include:

- Booking of facilities for all training courses
- Raising requisitions through eProcurement system
- Liaison with speakers/ facilitators
- Provision of programmes, attendance registers, course materials and refreshments for individual sessions

2. To assist in the organisation and administration of the Continuing Education Programme, which will include:

- Booking of facilities for all training courses
- Raising requisitions through eProcurement system
- Liaison with speakers/ facilitators

3. To assist in the organisation and co-ordination of the process of recruitment of educators and trainees required for Dental training schemes within Northern Ireland, to include:

- Attendance at recruitment events
- Preparation of recruitment paperwork
- Timetabling of recruitment events
- Booking of facilities for recruitment events
- Assistance with pre-employment paperwork

4. To assist with the maintenance and recording of information on electronic records held by the Dental team and also on:

- Trainee Database
- Course Manager

6. Administration of committees to include organising IT equipment and ensuring follow up actions are carried out.

7. To update and maintain the dental department website.

8. To organise travel arrangements for Advisers and Training Programme Directors.

9. To provide administrative support to the Dental Team.

10. To act as a point of contact for expenses forms submitted to the Dental team.

11. Ensure that a professional administrative service is delivered at all times.

12. To undertake any other duties as directed by the Dental Training Manager

**Essential Criteria**:
Five GCSE’s (including GCSE English Language and GCSE Maths (Grades A* - C) OR

equivalent qualification to demonstrate literacy and numeracy.

Higher Qualification

OR

18 Months relevant experience

One year’s experience working with Microsoft Office or similar.
- _**Relevant experience is defined as working in an office environment carrying out administrative duties such as preparing letters/correspondence, maintaining systems/databases, communicating with stakeholders**_

**Salary**: £11.11 per hour

- Monday to Friday
