The post holder will provide comprehensive administrative support to the Health Visiting Service.

This includes providing administrative support to the management team and safeguarding specialists, arranging meetings, coordinating information, preparing documents, minute taking and data entry.

The post holder will take responsibility for processing sensitive and strictly confidential information in relation to safeguarding children and domestic abuse.

The post holder will communicate and liaise with staff and members of partner organisations, produce work to deadlines whilst ensuring compliance with Health Board policies.

This is a key supporting role in the effective running of the team,
which includes the management of resources as part of the core duties.

The duties and responsibilities listed below are not intended to be exhaustive, but are set out to indicate the main areas of activity currently expected.

The post holder will, therefore, be expected to adopt a flexible approach when the needs of the service require.

Process PPNs (Public Protection Notices) originating from the Police to inform the relevant Health Board staff of domestic violence incidents / incidents where there is concern about a child. Please note: the role involves a substantial amount of time reading sensitive, potentially distressing, information on a daily basis.

Coordinate information and reports from Health Visitors to inform the weekly MARAC (multi-agency risk assessment conference) attended by the Clinical Nurse Specialists for Safeguarding Children.

Provide information to inform clients, colleagues and external partner organisations using tact and persuasive skills when necessary.

Ensure effective communication between team members.

Provide an effective and professional service when liaising with colleagues, stakeholders and the public.

Meet and greet visitors in a professional and polite manner, ensuring adherence to office protocol.

Manage systems, direct telephone calls appropriately and relay
messages accurately and in a timely fashion (calls may be confidential and
sensitive and be from a range of internal/external individuals and organisations).

Manage and maintain electronic filing systems, ensuring that information is appropriately and securely stored, whilst adhering to information governance guidelines to protect personal information.

Contribute to team meetings and provide cover for colleagues as required.
