**What to expect**

We have a new role for a Business Executive to support the Head of our Private Client department. This is a really exciting time to join Thorntons as we continue to grow and transform our business and this role sits at the heart of that. The scope of this role incudes:

- Executive Support - providing high-level administrative support exclusively to the Head of Department, managing their calendar, scheduling meetings, and handling correspondence.
- Stakeholder coordination - acting as the liaison between the Head of Department and various stakeholders, facilitating communication and ensuring alignment on key initiatives.
- Policy Documentation, Drafting & Circulation - highlighting, drafting, and circulating departmental policy documentation under the guidance of the Head of Department
- Meeting Preparation and Support - preparing meeting agendas, collating necessary materials and providing logístical support for meetings attended by the Head of Department
- Executive Administration - efficiently managing administrative tasks for the Head of Department, including travel arrangements, expense reports, and document preparation.
- Problem Solving & Decision support - anticipating and proactively addressing potential issues, providing decision support to the Head of Department as needed.

**What we're looking for**:

- A strong background in administration, ideally supporting senior leaders or executives.
- Great IT Skills - you will ideally be experienced in using the Microsoft Office suite including Teams, PowerPoint, Excel and Outlook
- Good communicator - able to communicate well with colleagues, stakeholders and clients both verbally and in writing.
- Interpersonal Skills - able to build and maintaining positive relationships with colleagues and clients.
- Organised - able to manage multiple tasks, prioritise effectively, and maintain a high level of attention to detail.
- Flexible and Adaptable - able to handle shifting priorities and new challenges in a fast-paced working environment.
- Discretion, Confidentiality and Integrity - able to handle sensitive information with confidentiality and discretion and manage data confidentiality and securely.
- Problem-Solving - an aptitude for identifying issues, evaluating options, and confident to propose solutions or recommendations.
- Time Management - able to manage time and resources to meet deadlines
- Team worker - able to work well in a team, supporting colleagues and contributing to a great working environment
- Previous project management experience will be an advantage, although not essential

**Hours**
- Monday - Friday, 9am - 5pm (35 hours per week)
