As Event Coordinator you will manage day to day administration in support of the set up and arranging of events, act as host and support at live events and follow up with clients or attendees after events to book client meetings in the diary and gather feedback. You will also work as part of a team planning events so they run smoothly on the day, ensuring delegates in attendance have access to everything they may need whilst maintaining the consistently high standards that our clients and partners have come to expect.

There are four companies across the group that you will provide event support to, however the largest part of the role will encompass supporting the seminar programme for our financial advice practice. We have four hubs across the UK; our Head Office in Thame (which will be your primary location), and regional offices in Winchester, Ashby-de-la-Zouch and Moreton-in-Marsh. You will be required to travel to one of these locations approximately once a week and on average have an overnight stay at a venue approximately one a month.

Typical daily responsibilities will include:

- Preparation of materials/packs needed for each individual event, this will include everything from name badges/cards through to detailed information packs and presenter materials or presentations.
- Ensuring all meeting rooms and venues are well-presented and adequate for whatever facilities may be required during the event.
- Provide exceptional levels of customer service to external clients, internal colleagues and partners of the Wills & Trusts Group.
- Scheduling of attendees, presenters and colleagues attending on the day plus associated venue partners.
- Ensure all equipment/materials required for events are organised in advance, delivered to the venue in a timely fashion and assisting with the setting up and smooth running of the day.
- Calling event attendees post-seminar to schedule meetings.
- Inputting key data into the CRM and Seminar software to ensure the business has accurate information feeding into management reports.
- On-site attendance during events at the Head Office in Thame and other hubs or venues across the UK.

**Qualifications**:

- Our ideal applicant will thrive under pressure, have good organisational skills and ideally have some experience, knowledge, or training within events; perhaps having graduated from a related degree course or potentially been on the other side of events within a hotel environment. You will be the sort of person that can maintain a calm and professional exterior no matter what is happening around you. You will naturally be a detail focused individual and have a passion for providing high levels of customer service. Strong administration and IT skills (including Outlook and Excel) are essential. The ability to multi-task is key as you will often be planning several events simultaneously. A full, clean driving licence is required as you will be required on-site at events and may be asked to drive the Company van.**Additional Information**:
