**HR Service Centre Assistant**

Join our HR Service Centre team for the opportunity to make a positive contribution to Cardiff University's ambition to be among the top 100 universities in the world and top 20 in the UK.
- The HR Service Centre is the University's central transactional hub that ensures that all recruitment, contractual and Payroll processes are undertaken to support the front-line delivery of world class teaching and research.
- With excellent administrative skills and experience of working in a fast-paced office environment, you will be the first point of contact for our customers, whether face-to-face, on the telephone or electronically. Delivering a professional response to ensure a right first time resolution, you will assess and appropriately allocate work requests within the immediate and wider team. Volume is always high within the Centre, so the ability to plan, prioritise and organise your own workload to meet a variety of deadlines is essential to helping us deliver a high quality service, valued by our customers.- This is a part time position of 21 hours per week and is open ended.**Salary**: £20,863 - £21,761 per annum, pro-rata (Grade 2)**Date advert posted: Tuesday, 27 June 2023**

- Actively support the HR Service Centre in the delivery of an efficient and professional service with the aim of achieving a right first time resolution at every customer interaction
- Provide a proficient and professional service to internal and external customers, both face-to-face, electronically and via telephone
- Complete the commencement procedure for all new starters, ensuring all required documentation is on file and the HR/Payroll system is maintained appropriately to meet deadlines
- Provide first line advice to customers on a range of HR matters, logging requests as necessary within the workload management system (VFire), and refer/escalate as appropriate
- Carry out triage on new requests within the VFire system, ensuring correct information is detailed and calls are allocated appropriately, to include logging and scanning hard copy work received
- Work with the team to ensure completion of Right to Work checks for employees as appropriate to ensure required evidence is documented
- Provide a general administrative service to the HR Service Centre
- Carry out the transactional and administrative processes in relation to employee probation, special leave and paternity leave, maintaining records in the Core HR system and preparing appropriate correspondence
- Prepare information in relation to employment reference requests, ensuring the appropriate information is obtained in line with data protection requirements
- Make a positive contribution to the performance of the overall team, working to agreed procedures and standards, and supporting continuous improvement
- Establish, develop and maintain effective working relationships with work colleagues to ensure a collaborative contribution to meeting the objectives of the Human Resources department
- Ensure that confidentiality and the requirements of the Data Protection Act are applied when undertaking all duties
- Abide by the University's policies on Health & Safety and Equality & Diversity
- Undertake any other duties, not included above, which may be occasionally required consistent with the role

**Essential Criteria**
- Experience in an administrative role, demonstrating good administrative skills
- Good verbal and written communication skills
- Good customer service skills
- Ability to work on own initiative and problem solve
- Ability to deal appropriately with sensitive and confidential information
- Ability to work effectively as part of a team
- Good organisational skills with the ability to prioritise workload and deliver in a fast paced environment to meet a variety of deadlines
- Accuracy and attention to detail

- Fluency in Welsh, written and verbal
