**Key Purpose of the Role**
Create a holiday plan/draft itinerary listing dates and arrival times at each venue allowing for time spent travelling and elderly passengers boarding and disembarking the coach. Find a suitable 4-star hotel and pass it to the Hotels Co-ordinator, to check availability and ask that Terms & Conditions allow penalty-free cancellation up to 28 days prior to the event, check hotel has onsite coach parking, lifts to all floors, restaurant table service, minimum 3/3/3 menu choice and porterage. Hotels Co-ordinator will reserve rooms and sign contracts. You would need to step in and take over some of the above tasks in her absence, including record keeping.
Locate places to visit during holiday excursions e.g. art galleries, museums, stately homes, theatres and restaurants and pass to the Activities Co-ordinator to check availability on dates given, obtain prices, check accessibility for elderly visitors, possibility of seated talks during guided tours, to make provisional bookings and monitor throughout. Working together as a team, you will be responsible for some of these tasks in her absence, including recording results in relevant files and spreadsheets on our system.
Independently liaise with the coach hire company, Blue Badge Guides, musicians and guest speakers for in-hotel entertainment and get prices, provisionally book, monitor throughout, finalise near the holiday date giving contact details, requesting invoices and arranging payment.
Produce costing spreadsheets and write brochures advertising our holidays creatively to promote sales.
Write itinerary for members giving information and timings, another for the tour manager giving contacts and detailed information and another for the coach driver with directions, coach parking, etc. All are to be completed and ready for mailing two weeks before the holiday takes place.
