**Panel Clerk x 14 hours **(Thursdays, other day is flexible to meet needs of Panel)

**Salary**:£23,981 per annum

Adopters for Adoption are recruiting a Panel Clerk to join the team in Bromsgrove to provide a flexible and effective administration support to the Panel and Assessment functions and to assist the Panel and Assessment service to deliver against regional and country specific targets.

**Overall Purpose/Aim**:
To ensure delivery of a comprehensive and flexible administrative support service to enable the business to function effectively in line with AfA and Polaris Vision and Values.

**Core Tasks**

General Administration
- Strong background in administration
- You will be dealing with sensitive information and due to the nature of the work, the need for confidentiality is paramount.
- Excellent communication, organisational and IT skills
- Use of Charms system
- You will be an enthusiastic team player, willing to undertake any administrative task, from room bookings, to filing and composing letters
- Analyse reports and data, reporting to Board
- Ensure invitations are sent out and quoracy of Panel
- Oversee all Adoption Panel activities
- Attend and participate at team meetings
- Present a professional image of AfA at all times to all stakeholders and customers
- File documents in the appropriate filing systems and set up new filing systems
- Archive files and other documentation and confidential waste of sensitive information
- Accurately maintain AfA Business Information Systems

Panel Process
- Prepare assessment documents prior to panel and send out to panel members and the Independent Social Worker
- Coordinate the attendance of panel members at the adoption panel
- Take minutes at adoption panels in line with agency guidelines and ensure sign off and circulation of the minutes within agreed timescales
- Assist in the planning and organisation of panel member appraisals
- Assist the management team to plan panel dates in advance, taking into account the projected panel business
- Ensure that Business Information Systems are updated with the results of adoption panels

Review Process
- Liaise with the Head of Service and Panel Advisor to plan dates for adoption reviews in line with regulatory guidelines
- Provide administrative support to reviews as required
- Ensure that Business Information Systems are updated with the results of adoption reviews

Communication
- Act as first point of contact for our customers and portray a positive, professional and helpful image of the organisation

Ensure all safeguarding calls and written communications received by administration staff are recorded and evidenced.

**Job Type**: Part-time
Part-time hours: 14 per week

**Salary**: £23,981.00 per year
