Position Summary:
This is an opportunity for a customer focussed individual to join the Student Services team in our fast growing London school. This role has responsibility for managing and providing a range of accommodation options in London to satisfy our students needs and wants. Having good quality host families, host family agencies, house shares, hotels, hostels and student residences at market prices within easy reach of our college will drive sales and lead to high customer satisfaction.

Reporting to the Students Services Manager, you will oversee the day to day running of the function in accordance with Bayswater College policies and British Council criteria. You will be responsible for supplier relationships with accommodation agencies and homestay families, ensuring the highest levels of student welfare. You will manage the financial risk of taking accommodation by ensuring that accommodation is cancelled before deadlines to avoid penalties.

You will be part of the student services team and are expected to:

- ensure excellent customer service is provided to our students consistently
- liaising with the Academic, Admissions and Sales teams to give our students a time of their life experience
- following the agreed internal processes and procedures and resolving issues quickly and efficiently
- dealing with walk-in enquiries, sell our courses & programmes, and process bookings from agents, groups, and individuals

This role will require excellent communication, inter-personal and organisational skills; projecting a courteous and professional manner at all times when representing the college.

**Key duties & responsibilities**

**Accommodation Management**
- Ensure that accurate, up-to-date records of all accommodation bookings are kept and that the college adheres to all accrediting bodies.
- Place students in host families, house shares, hotels, hostels and student residences
- Act on any issues that arise in accommodation and proactively foster good relationships with all accommodation providers including homestay families, residences, landlords, agencies, hostels and hotels.
- Regularly visit accommodation providers and ensure they adhere to policies and standards.
- Recruit new host families and keep abreast of new accommodation options in London.
- Assist the senior management team with negotiating terms and conditions with third party providers and agreeing prices for accommodation within agreed profit margins.
- Manage allocations and ensure a minimum of 90% occupancy.
- Ensure that voids are minimized in any accommodation by achieving the occupancy targets and that accommodation remains a profit centre. Terms and conditions of accommodation must be clear prior to booking to prevent a negative financial impact on the college.
- Forward plan accommodation capacity, working closely with the Students Services Manager, Centre Manager and the Sales & Admissions teams to drive sales and ensure that student bookings can be fulfilled.
- Communicate accommodation availability with Senior Management, Sales and Admissions on a regular basis (more regularly during peak periods).
- Deal with invoices from accommodation providers including host families. Prepare a monthly report and control the cost of accommodation expenditure.

**Welfare**
- Take responsibility for the welfare, safety and care of students at all times; ensure the students adhere to the college rules and high levels of care are provided by all accommodation providers. Extra duty of care
