**Overall purpose of the role**

To ensure their Directors are fully supported, they are seeking to recruit an Executive Assistant to assist the Chief Financial Officer and Director of Fundraising. They are looking for someone with the confidence and experience to provide assistance across the four Support teams which the CFO is responsible (Finance, IT, Legal & Compliance and Property), as well as the Fundraising Team.

You will assist them to manage their busy workload, assisting with diary management, meeting preparation and project work. An important part of the role is to ensure all internal and external communications are handled in a timely and effective way. The role requires you to liaise with all departments across the company and a wide range of external stakeholders including the Executive Team, Trustees and Senior Executives from external organisations. As a frequent first point of contact, you will play a key role in leading and reflecting the high-quality standards and professionalism of our work.

Strong administrative and organisational skills are essential, together with an enthusiastic and flexible approach to work, good interpersonal skills and a genuine passion to make a difference.

**Duties & Responsibilities**

**You will**:

- Provide direct executive support to the Chief Financial Officer and Director of Fundraising, making effective use of their time by planning and managing their schedules through diary management, forward planning and managing deadlines
- Service steering groups and Committees: schedule meeting dates in liaison with the Chair; assist in creating and compiling meeting papers; take and distribute minutes.
- Manage inboxes where requested
- Maintain an overview of the CFO's inbox and workloads, following up on action points
- Providing administrative assistance to the Support teams within the CFO's directorate (An emphasis on Legal & Compliance but also covering Finance, Technology and Facilities), as well as within the Fundraising team
- Assisting with Support and Fundraising team projects
- Assist with administration related to Company Secretarial matters
- Undertaking general administrative tasks as required by the CFO and Director of Fundraising
- Helping to ensure expenses claims and invoices for the team are processed in a timely manner
- Coordination and administration of team meetings and events
- Helping to induct new staff into the Support and Fundraising Teams
- Supporting the Legal & Compliance processes (such as Operational Risk and Subject Access Requests) as and when required

**About You**
**You will**:

- Possess excellent communication skills - written and verbal - with a confident and firm (when necessary) but pleasant telephone manner, maintaining confidentiality. At ease communicating with a wide range of people, confidently building and maintaining relationships. Ability to work effectively with all levels within the organisation and with key external partners and funders
- Significant administrative/PA experience, ideally including experience working with Directors in a busy office environment.
- Strong planner, well organised, unflappable, with a demonstrable track record of working under pressure.
- Ability to use own initiative, energetic and a self-starter
- Numerate, strong writing skills, demonstrating attention to detail and able to produce written documents to a high standard.
- Able to maintain accurate confidential systems of records, either manually or on a database.
- Team player, able to create favourable working relationships easily, with the ability to organise others when necessary.
- Ability to manage and have professional relationships with senior members of the team.
- Skilled in Outlook, Word, Excel, PowerPoint.
