**Role: Fleet Coordinator**

**Location: Harwell Science Park, near Didcot**

**Hours: 37.5 hours per week, flexible on start / finish times - either 8am - 4pm or 08.30am - 4.30pm Monday - Friday.**

The role is based at our prestigious offices on the Harwell Campus in Didcot, and although this has public transport connections, you do need to possess a full UK driving licence for our role.

The role is office based, however you will be expected to carry out some travelling to local garages for vehicle maintenance requirements. You will be responsible for coordinating the provision of vans and cars across the company to include the installation of tracking devices - we have offices in Didcot, Derby, Cardiff and Glasgow. This is a fast-moving role and needs a coordinator who is proactive but can react positively to changing requirements.

**The ideal applicant will be**:

- Experienced in fleet (desirable)
- A confident administrator
- An assertive communicator
- Experienced using databases and have accurate data entry skills
- Able to plan and prioritise work effectively
- Practical and hands on to fit trackers in vans (training given)
- Able to drive vans and cars

**Key responsibilities are**:

- Keeping the company on the road through the provision of cars and vans
- Liaising with managers and drivers across the company
- Managing the provision of vehicles through third party leasing and rental companies
- Working with the tracker company and using tracker software to monitor van use and provide information to managers
- Liaising with body shop to ensure optimum turn around for vehicle repairs
- Recording of traffic fines / vehicle deductions and liaising these with the drivers
- To install and uninstall trackers from vans and cars as necessary
- To work with insurance company ensuring MID database is updated and any claims are notified promptly and followed through to completion
- Support drivers after vehicle accidents and incidents, following the process and keeping managers informed
- To organise vehicles for new employees and to arrange return of vehicles as required
- Ensuring required vehicles are entered onto the Congestion and Date charge databases
- To check vehicles for damage on delivery, when swapped between drivers and on return
- To work with HR providing support with the provision of vehicles to starters and carrying out of induction training for drivers of company vehicles
- To ensure vehicles and any changes are reported to HMRC
- To answer queries from all vehicle drivers and provide support and direction
- To react effectively to requests for replacement and short-term rental vehicles
