Just Recruitment is working with a well-regarded, people focused organisation, based on the outskirts of Sudbury - they are looking to add a Team Secretary (supporting at Director level) to their team.
The key purpose of the role is to provide excellent personal administrative and secretarial support. Ensuring the smooth and efficient operation of the office whilst maintaining discretion and confidentiality as appropriate.
This role will include support to, two key people within the business and occasional admin support to one other, as well as to lead on the effective running of the Sudbury Office.
Key duties include:
Provide support to, two key people and occasional support to a third
Meet each at least weekly to discuss diary and upcoming tasks
Manage diaries, arrange travel
Raise purchase orders and arrange payment of invoices
Schedule 1:1s and performance review meetings with teams
Schedule regular meetings, draw up agendas, issue papers, take minutes, follow up action points
Draft documents and correspondence as required
Be responsible for line management Sudbury receptionist, and arranging cover for dealing with incoming and outgoing post in their absence.
To oversee the efficient management of the office premises to include Reception and the ordering of stationery and kitchen supplies ensuring that costs are appropriately managed
To liaise with the property team over repairs and maintenance
To work with the Health and Safety team in regard to risk assessments, fire drills, DSE assessments and office safety
To oversee and manage office space allocations and floor moves as and when required
Responsible for organising secure shredding and archiving
Skills and Experience required:
Experience of taking minutes
Good experience working and supporting at senior level
Experience of demonstrating confidentiality and the ability to be discreet
Excellent verbal and written communication skills with an ability to communicate at all levels.
Experience of working in a team and also under own initiative
This is a hybrid working role - once training has been completed, to work 2/3 days in the office and the rest working from home.
Working hours are 9 - 5 Monday to Friday
