The Property team at Calor Gas are looking to recruit an engaging and proactive Property Coordinator for a 12 month FTC

Provide a comprehensive and confidential business support to the Property Department, inclusive of real estate, construction, maintenance, and facilities activities.

Manage purchase order process within internal financial and Operations departments, together with all external suppliers and contractors.

Coordinate all rent and rates payments for the Calor property portfolio in line with lease hold requirements and obligations. Coordinate monthly Calor Capex Committee meetings and weekly Calor Property Report meetings.

**Key responsibilities will include**:

- Manage property department purchase orders and invoicing processes through Calor internal purchasing system, Docusphere. Liaison with all external contractors and suppliers as well as Calor Finance department. Expected to be 80% of all PO’s per annum
- Coordinate all rent payments and rent receivables for the Calor property portfolio inclusive of invoicing, credit control and account management
- Manage Business Rates for the Calor property portfolio in conjunction with external property agents, inclusive of invoicing and credit control, for leasehold sites and 3rd party sites
- Maintain Capital expenditure forms (C1) on all construction projects with relevant Construction Manager and external contractors
- Coordinate Monthly “Calor Capex Committee” meetings; to include pre and post meeting administration, minute taking and management of approved C1 documents
- Coordinate weekly “Calor Property Report” meetings between Property, Finance, Operations, IT, National Engineering; to include setting up working spread sheet, note taking during the meeting and distribution of weekly report to all parties
- Maintain Property Department Estates files inclusive of deeds packs and leasehold contracts; as well as maintain Deeds packs for the Calor Gas Limited Metered Estates portfolio
- Manage and maintain Property Department Archive system including setting up and maintaining external extranet system with our retained solicitors
- Maintain and monitor internal department files and records including sickness and holiday, plus support Portfolio maintenance Administrator during periods of holiday and or sickness

**As such we would like you to have/be**:
**Essential**:

- Educated to GCSE level with Maths and English or equivalent
- Computer/IT literate having reached intermediate level at Excel,Word,PowerPoint and Outlook
- Good time management skills
- Excellent organization planning and communication skills with a good telephone manner
- High Degree of confidentiality, discretion and integrity
- Accuracy and attention to detail essential

**Desirable**:

- Previous experience in administration or secretarial environment in private sector
- Good interpersonal skills
- Flexible, proactive and able to work on own initiative with minimum supervision
- Docusphere / E1 working knowledge
