I am working with an organisation based in the heart of Tonbridge who are seeking an office coordinator to support the running of the organisation. The office coordinator will report to the Directors, provide administrative support to ensure the smooth dayto day running of the office as well as maintain the organisations social media presence.

**Day to day duties for the Office Coordinator**:

- Assist in the organisation and management of company electronic filing systems to maintain ISO 9001
- Update tender information and re-issue any amendments to the Pre-construction team
- Assisting with tender submissions.
- Assisting, updating and maintaining company accreditation certificates and liaising with accreditation bodies
- Updating and maintaining approved supplier/ sub-contractor database.
- Complete and update new starter document packs
- Manage, update and maintain the company holiday rota
- Assist with Staff Appraisal Process.
- Updating and maintaining the company training matrix.
- Organising and arranging staff training courses
- Arrange, Manage and organise monthly Company office meetings and issue meeting minutes;
- Handling any calls from Reception and dealing with queries or messages
- Ordering any supplies and stationery
- Open, date, stamp and distribute post
- Preparing any documents, spreadsheets or presentations required by the Directors
- General office management and assistance to the Directors
- Assist contract teams on a day-to-day basis such as completing monthly newsletters.
- Update the company website
- Regularly update company social media platforms (LinkedIn, Facebook, Instagram)
- Occasional travel to new sites to confirm marketing and advertising boards on sites.
- Previous administrative experience
- Previous experience within the construction industry is preferred but not essential as all training will be provided
- Confident phone manner
- Strong PC skills including Microsoft packages
- Multi-tasker able to take responsibility for prioritising and completing various tasks
- Effective coordinator with good communication skills
- Self-motivated and able to work in a team or autonomously
- Attention to detail with the ability to produce accurate work
- Willing to undertake a range of office tasks
- Previous experience using social media platforms for business purposes

- £25-£30k salary depending one experience
- Full time permanent role
- Monday - Friday 9am-5pm
- Hybrid working (1/2 days from home)
