**Location**: London

**Rate of pay**: £30,500 per annum + amazing benefits

**Working pattern**: 08:30-17:00 Mon - Fri

**Key Requirements**
- Have an operational knowledge of all reception services and standard operating procedures, together with in house meeting reservations procedures, switchboard, and other internal/external communications methods
- Empathy, excellent customer service and practical skills
- Skilled in guest/client service and confident in striving for excellence
- Good understanding of Word, Excel and Outlook

**Main Duties**
- Provide a welcoming and professional reception service
- Keep reception area and desk clean and clutter free
- Immediately acknowledge all visitors with a warm, positive, professional welcome (for security & politeness)
- Offer to take bags, coats etc for safe'keeping
- Liaise with cleaning and maintenance teams to ensure perfect service
- Contact relevant host of guests arrival
- Offer refreshments
- Preparing catering and visitor list for next business day and forecast for following week
- Ensure any visitors including contractors, are registered with building security and/or reception
- Ensure security of office from external meeting guests
- Evacuation officer role
- Collect and distribute post from Loading Bay
- Arrange for courier delivery of overseas documents (all parcels to be distributed via Jo Gray)
- Manage physical stamp stock
- Managing all room bookings ensuring time between meetings for room turnaround
- Ensuring rooms are clean and prepared before each meeting
- Ensure basic catering needs are met, working alongside Hospitality Assistant
- Working with Team Assistants and Hospitality Assistant to order and invoice any ad hoc catering needs
- Liaise with IT team to ensure meeting room needs are met
- Proactively co'ordinate rooms depending on priority and last minute requests, informing all parties
- Passing basic catering forms from Team Assistants to Catering Assistant
- Co'ordinating with Catering Assistant from initial enquiry to post event recharges
- Booking temp staff
- Co'ordinate any furniture/room adjustments
- Answering calls to the main PSP line in the agreed way
- Politely refusing to disclose personal staff contact details
- Transferring calls after informing call recipient
- Ensure stationery room and cupboards are maintained to a neat standard, reporting any breakages where necessary
- Prepare stationery order once
