Medical Receptionist[Care Navigator]/Administrator
An opportunity has arisen for a Medical Receptionist/Administrator to replace a member of staff who is leaving. We are seeking an experienced, enthusiastic team focused individual to join our friendly practice team for around 18-20 hours per week, but are flexible with this.
The Practice is based in the heart of the beautiful Suffolk countryside, serving a practice population of approx 5200 patients.
We provide high quality patient centered care to our practice population, many of whom are with us from birth to old age The Practice team work closely together and are very supportive of each other which results in a strong team spirit.
In this essential front-line role at the practice, our receptionists are the first contact with our patients. You must be able to demonstrate excellent communication skills, have the ability to remain calm under pressure and be able to multi-task whilst dealing with frequent interruptions.
Staff cover for holiday and sickness is shared amongst the team so flexibility is important

**Medical Receptionist Duties**
**Job Summary**
To receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way. To support the health care team in providing an efficient, helpful and informative service.
**Main Duties**
- Make patient appointments for doctor and nurse surgeries by phone or face to face (the practice is fully computerised)
- Use judgement and communication skills to ensure that patients who do not have a pre
- booked appointment but who need an urgent consultation are seen appropriately.
- Receive patients and register their attendance if they are unable to use the self arrivals screen.
- Answer patient queries, referring them to the doctor or nurse if necessary.
- Book patient phone call appointments as required.
- Ensure home visit requests are recorded fully and accurately.
- Use the practice computer system for the following tasks:
- Checking patient registration
- Changing patient registration details as required
- Preparing encounter forms for home visits
- Informing patients of test results as instructed by the doctors
- Open incoming post and distribute as appropriate.
- Arrange ambulances for patients as instructed.
- Welcome new patients to the practice and assist them with their registration.
- Take action on clinician’s requests for further information or action, ensuring completion of associated paperwork.
- Unlock the premises in the morning and/or lock up in the evening, setting the alarm accordingly. (You will be a key-holder)
- Switch on the air conditioning/heating in the consulting rooms and waiting room on arrival.
- Switch on the computers in reception on arrival in the morning. Ensure telephone system is set to the right mode.
- Respect confidentiality at all times. Make every effort to ensure that conversations are not overheard in the waiting room.
**Administrative Duties will include**
Dealing with registration concerns; liaising with patients and the reception team to resolve queries
Providing administrative support with GP rotas
Follow practice protocol to register applicants for online access to medical records.
- Assist patients with online access queries
**General administrative support**
- Scanning documents to patient records
- Ensure practice noticeboards remain current and topical, to include laminating material
- Coding patient data within records
- Summarising medical records
Any other administrative duties reasonably asked of you by the Practice Management Team
