The Company Administrator is responsible for the effective and efficient running of the Company’s administrative duties. Ensuring the seamless operation of our business, the Company Administrator is a key part of the team helping our colleagues to deliver safe and airworthy platforms.

**Roles & Responsibilities**
- Acting as an ambassador for Affinity as the ‘Front of House’, managing the reception area, booking in and greeting visitors, company site inductions, answering incoming calls, managing the enquiries inbox, receiving and directing post and deliveries.
- Collating, purchasing, and processing PPE orders, stationery, office supplies and materials.
- Weekly and monthly reconciliation of Courier Airway bills.
- Collating, purchasing, and processing orders for tea, coffee, sugar, and milk for Affinity.
- Arranging events such as seminars, away days, meetings, and training, organising catering, booking rooms, accommodation, transport, access for external providers, and making any other necessary arrangements such as invoices and payments.
- Collating and filing monthly company credit card expenses.
- General support for the Business Services department.
- Managing conference room bookings.
- Updating and maintaining the Company’s training records in support of the HR and Training Team.
- Maintaining the travel log for approval of invoices, liaising with Finance as needed.
- Ensuring all Travel Authorisation Forms are completed in line with the Company policy and entered onto SharePoint in an accurate and timely manner.
- Organising UK and international travel consisting of sourcing flights, hotels, car rental, taxis, and train tickets, ensuring all travel/approval is recorded for audit trail.
- Supporting the Business Services Manager in the day-to-day management of the Affinity estate.
- Ensuring all certification, validations, and insurances to operate remain extant.

To be considered for this position, it is essential for you to have:
**Experience**:

- A minimum of 3 years’ experience in office administration.
- Proven background in reception, team support and administration functions.
- Strong organisational skills.
- Demonstrates a flexible approach to work, is self-motivated with the ability to manage multiple priorities.
- Clear and confident communication skills.
- Computer literate with a sound understanding of Excel and Word.
- Experience of working in a similar role with mínimal supervision.
- Customer focused and output driven.

**Competencies**:

- Excellent organisational and time management skills, with the ability to work to tight deadlines under pressure and in challenging environments.
- Confident and credible communicator with excellent interpersonal skills, able to collaborate effectively and establish rapport with people quickly and at all levels, but verbally and in writing.

- Ability to work in a structured and methodical manner with a keen eye for detail.

- Excellent IT skills, including Word, Excel, and PowerPoint.

**Qualifications**:

- Full UK driving licence.

To be considered for this position, it is desirable for you to have:

- Experience of travel booking administration.

**Qualifications**:

- BPSS Clearance

**This position is permanent role and the hours for this position would be considered at full-time based on 40 hours a week or part-time at 30 hours a week.**
