**Our client is a family run design and manufacturing business. We are partnering with the business to supply an Office Administrator on a permanent basis. This is a great opportunity to join a growing and well-respected engineering business. They arelooking for an Office Administrator/Receptionist to take responsibility for a smooth running of the office.**
**Office Administrator**
- Reception - all duties connected with the role of receptionist - Telephone and visitors. Ensuring that high standards are maintained to offer any caller/visitor a confident, friendly, professional (and discreet if required) welcome, ensuring that they aredealt with appropriately and efficiently.
- Monitoring the Company diary, supporting with sorting meeting room clashes & knowing the day ahead.
- Full responsibility for the telephone system, ensuring you are familiar with its functions. Keeping all internal telephone directories updated and training new staff to use the system effectively.
- Ensuring that the full security of the premises is maintained at all times with regard to visitors entering and being escorted around the premises, following company procedures and instructions.
- Responsibility for stationery and supplies, requisitions and distribution.
- Receiving and opening of mail, franking machine duties. Responsible for organising maintenance and ensuring correct operation of the franking machine.
- Printing off purchase invoices which are mailed, organising and passing to the Accounts department on a daily basis.
- Canteen duties - ensuring the canteen and kitchens are clean, tidy, with appliances in good working order and adequately stocked with crockery, utensils and refreshments. Report any maintenance issues promptly.
- Keeping the canteen notice board up to date and organised, prompting HR when outdated with your content suggestions. This includes the distribution of memos.
- Organising and booking first aid and forklift training / refreshers along with any other training as and when requested.
- The role will develop into doing more personnel support longer term to cover Office Administrator staff. To assist and cover periods of absence. This includes, but not limited to:

- Personnel support to HR ensuring confidentiality with any personal data you process is maintained and dealt with in a sensitive manner
- New joiners: preparations for new staff joining, induction welcomes, health & safety videos and production / office tours for interviews
- Leavers: administrative duties which apply
- Processing holiday/sick/absence/late records on Cascade and the Company diary
- Keeping the weekly time and attendance report up to date and closing out any queries quickly

**Office Administrator**
**Essential Experience/Skills/Qualifications**:

- English, Maths GCSE or equivalent
- Previous experience of reception/switchboard and general office administration tasks
- Computer literate
- Competent in the use of general office equipment, including printers, scanners, fax machines, franking machines, and reception telephone systems (they currently use Navigate).

**Desirable Experience/Skills/Qualifications**:

- Experience using an MRP/ERP system (they currently use Microsoft Navision)
- Previous experience of an integrated online HR System (they use Cascade)
- Previous experience of supporting small HR administration duties
- Knowledge of Powerpoint / Excel (to an intermediate level)
