We are looking for a Estates Administrator to join our Property and Maintenance team at our Newbridge HQ, Edinburgh.
As the Property Administrator you will support the Property team to achieve their goals for the UK Portfolio of VPZ Stores as it continues to grow and develop.
The company has over 135 leased properties across the UK which provide a large workload with annual events affecting store locations, lease end decisions, dilapidation works, reactive and planned works and statutory compliance works to manage. We are also actively working on new store locations around the UK and therefore the workload and approach of the Property Administrator will be flexible to suit the plans of the department.
The Estates Administrator will work with the Property team to provide an admin function for our sister company Fabrefit which is a joinery manufacturing business.
**Main Responsibilities**:
- Management of Property documentation and data.
- Communication on behalf of the team with Regional Retail Management teams.
- Preparing reports for measurable team workload.
- Preparation of meeting PowerPoint slides for weekly and month board meetings.
- Assisting the Property team with landlord contact where landlord repairs are required to a property.
- Supporting / Assisting the Head of Property.
- Invoice administration in conjunction with the property SLA.
- Providing documentation and data to external consultants where required.
- Sending out tender documentation prepared by the Project Managers to select Contractors to gain competitive pricing.
- Contractor contact to chase for quotes or information on behalf of Project Managers.
- Liaising with Store Staff for Contractor access.
- Monitoring timesheet data from Team Staff.
- Ad hoc duties as required.
**Essential Criteria**:
- 2 years of experience in a similar role within Property Management, Maintenance Contractor, Facilities Service.
- Knowledge of Contract Law, Property Management, Property Maintenance, Construction Methods Experience.
- Previous administration experience, supporting a busy team.
- Adaptable / flexible approach to work with a positive attitude, able to multi-task to meet a variety of challenges.
- Ability to follow instructions and work to deadlines with fine attention to detail.
- Proactive can-do attitude.
**Desirable Criteria**:
- Knowledge of Contract Law and dealing with lease documents and tracking.
- Experience in Contractor Management / regular contact with discussion on repairs and costs.
- Experience dealing with local councils.
