**Job Title: Administrator**

**Location: Burnaston, DE1 9TA**

**Salary: £22,000 to £26,000**

**Working Hours: Monday to Friday 7.30am-4pm**

**Job Status: Temporary maternity cover (12-14 months starting January 2023)**

**The Role**

To carry out aspects of administration associated with all Toyota centralised shipping and trucking, including:

- Long and short term planning
- Co-ordinate trucking and scheduling of General Export, remote port and Portbury & Grimsby shipments
- Liaise with Manager, Group Leader, Toyota and other logistics partners as appropriate to ensure on time delivery and accurate documentation
- Carry out aspects of administration associated with Toyota accessory vehicle planning, system set-up, daily planning and member capacity and allocation
- Liaise with management and Toyota as appropriate to ensure an effective and efficient yard, workshop and trucking operation is maintained and that the agreed customer service requirements, contractual KPI and quality standards are achieved
- Carry out aspects of administration to support Manager and Group Leader with the management of the yard, workshop and acceptance operation ensuring accurate record keeping and quality documentation.

**Responsibilities**
- Shipping co-ordination including documentation, assignment, post ship, truck planning, vessel planning and customs formalities for all shipping lines
- Short term and long term planning in line with production data for all shipping lines
- Point of contact for customs queries and documentation relating to all shipments
- Trucking co-ordination including documentation, truck planning, port and factory returns, yard stock, and logistic partner performance
- Responsibility for driver facilities
- Waste monitoring: check segregation and arrange collection (strap bins etc.)
- Vehicle accessory planning co-ordination including documentation, member packs, check sheets and planning boards
- System set-up including members capacity, vehicle, and accessory set-up
- System daily vehicle planning including member allocation, vehicle pull forward, management of vehicles not in hub, and sequencing planned vehicles
- General operational admin including data entry and format creation
- Despatch desk cover
- Actioning any issues, queries or complaints arising so that any problems are resolved, in a timely fashion and to all parties’ satisfaction as far as is reasonably practicable
- Escalating any complex issues to the relevant co-ordinator/manager
- Undertaking all aspects of administration, including document data entry, filing and running reports for other team

**Skills and expertise required**
- Previous administrative experience, preferably in an export or logistics environment
- Strong IT skills, competent in MS Word, Excel, Outlook and company in house systems
- Appropriate full current driving licence
- Excellent organisational and communication skills
- Ability to work in a team and independently
- Quality of work and attention to detail
- Positive and professional attitude at all times
- Good problem solving
- Good communicator (both verbal and written)

**Job Criteria**
- Reasonable amount of overtime required based on the business needs
- Flexible working hours
- Office/site based role
- Must be willing to travel to other BCA / customer sites for training
