Take and create clearly visible photographs of those attending the service in accordance with the ID Photograph specification. Ensure that sufficient relevant identification of each new applicant is checked before issuing with an ID badge.

Receive information and digital photographs from other hospitals and external partners. Ensure the correct design of ID badge is issued Directly responsible for storing and backing-up of work and data and any subsequent retrieval, including hard copy files. Responsible for accurately maintaining and updating other existing database(s) which may be required by the Deputy Operational Services Manager (Security) To retrieve, create and produce information / reports and documents from the databases as directed by the Deputy Operational Services Manager (Security) To work without close supervision for periods of time and to complete designated tasks efficiently and punctually, with a strong customer service focus. To monitor ID Badge stock and supplies and advise the Deputy Operational Services Manager (Security) when the agreed stock levels are depleted and further orders need to be placed, as and when necessary.

Responsible for unpacking and distributing stocks and supplies to appropriate person(s) on delivery, chasing up and querying any incorrect or missing items with the Deputy Operational Services Manager (Security) To maintain strict confidentiality at all times. To follow departmental procedures, policies and regulations and comply with Trust policies and procedures. Knowledge, Training & Experience To safely use and maintain office equipment: computers, printers, binders, shredders, laminators, and photocopiers. The post-holder will be competent in MS Word, Excel, PowerPoint, Access Databases for the purpose of reports, presentation material, ID card issue and design.

Set up and maintain filing systems (electronic and hard copy). To allocate a variety of different access levels, adhering to strict process following the department training and SOP. Escalating any issues. Updating and Maintaining the Authoriser list, where appropriate.

Communicate information with colleagues in other departments regarding staff ID badges, and access to secure areas. Prioritise daily workload, escalating issues where noted. Flexible in approach and attitude to the service, which may vary depending on the corporate requirements and needs at any given time. Fault finding and rectification on ID machine, printer and when required the basic access levels on the access control side of the system.

To photocopy and distribute information ensuring appropriate dissemination and circulation, facilitating effective communication at all times. To communicate and liaise with all levels both within the organisation, and with external agencies and partners. To work as part of a team in a busy environment. Flexible approach to work, to meet the needs of the service.

Manually distribute stocks and supplies. Dealing with frequent interruptions, answering telephones whilst concentrating and inputting data, compiling reports. Use Display Screen Equipment for significant proportion of the day.
