The purpose of this post is to provide a comprehensive secretarial service to the management and operational staff of the Emergency Department. The secretary will be expected to work with the minimum of supervision, using their own initiative, and will carry out the duties in such a way as to make a direct and positive contribution to the organisation of the work and so aid the management and operational staff to maximise the effective use of their time.

The duties and responsibilities listed under the detailed job description are not intended to be exhaustive but are set out to indicate the main areas of activity currently expected of any medical secretary. Not every post will attract all of the individual items although there will be a highly marked similarity between posts. Post-holders will therefore be expected to adopt a flexible approach to the needs of the service.

Liverpool University Hospitals NHS Foundation Trust was created on 1 October 2019 following the merger of two adult acute Trusts, Aintree University Hospital NHS Foundation Trust and the Royal Liverpool and Broadgreen University Hospitals NHS Trust.

The merger provides an opportunity to reconfigure services in a way that provides the best healthcare services to the city and improves the quality of care and health outcomes that patients experience.

The Trust runs Aintree University Hospital, Broadgreen Hospital, Liverpool University Dental Hospital and the Royal Liverpool University Hospital.

It serves a core population of around 630,000 people across Merseyside as well as providing a range of highly specialist services to a catchment area of more than two million people in the North West region and beyond.

1. Typing of dictation from audio or shorthand of medical reports, clinical letters, rotas, references and general administrative correspondence.

2. Typing of research articles (but not theses or books), lecture and teaching materials, as necessary, in order to support the consultant’s responsibilities with regard to teaching.

3. Composition of non-routine letters as required.

4. Deal with all enquiries (either by letter or telephone) from other consultants, other hospitals, management, Police, solicitors, coroners’ etc.

5. Retrieval of medical records, investigation reports etc, relating to queries to enable medical staff to deal with such queries as quickly as possible.

6. Ensure that all investigations are brought to the attention of the Consultant or other senior members of the medical team and signed before filing in notes

7. Filing of reports as appropriate.

8. Request or change outpatient clinic appointments on behalf of medical staff through the Medical Records Appointment Department or A&E Reception for A&E specific appointments.

**9. Deal with letters from**:

- Patients
- General Practitioners
- Other Hospitals
- Solicitors
- Other Consultants
- Unit Management

10. Liaise with all other departments within the hospital, i.e. wards, medical outpatient departments, medical records etc, with regard to all aspects of patient care, e.g. appointments, investigations etc.

11. Maintain regular frequent telephone contact with general practitioners, patients and relatives. Exercise independent judgement and initiative based on acquired knowledge when problems arise.

12. Support the day to day organisational/management responsibilities of the A&E staff through, for example the maintenance of:

- Meetings, appointments, lecturers.
- Filing systematically of all general correspondence, minutes and other documents as required.

14. In agreement with your immediate manager, cooperate in the supervision of trainee secretaries / clerical assistants as required.

15. Compose non-routine letters.

16. Deal with correspondence relating to non National Health Service patients who are treated or examined by the Consultants firm or department as agreed from time to time by unit management.

17. Attend meeting and produce draft minutes as appropriate.
