The Community Support Service at Brendoncare provides telephone support, online clubs, digital connection help and membership events. We are looking for an administrator to provide a first point of contact for enquiries about our Community Support Service and to support the CSS Manager in assigning members, monitoring the impact of the service, and working with the volunteers providing the support.
In this role, you can expect to:
- Support and administration of all aspects of Community Support Service
- Oversee the gathering of information to measure impact of service on wellbeing
- Ensure new members have completed their membership form and direct debit instruction before issuing membership cards
- Manage waiting lists based on priority of needs and alert CSS Manager to any safeguarding concerns. Allocate members to volunteer callers.
- Record incidents, compliments, complaints and any other feedback in a timely manner when reported and alert relevant staff members
- Log contacts, and support home-based volunteers to report contacts made with members
- Support referrals to other more appropriate services if applicable, both internally and externally
- Use Zoom to support online meetings.
- Under the direction of the CSS Manager, book meetings and events ensuring venue bookings, IT provision and refreshments are available
- Support new and existing staff to become familiar with the service database and other procedures to ensure accurate recording and reporting
- Support office-based volunteers to undertake administration tasks
- Regularly review service quality standards in terms of administrative functions and identify ways to contribute to service quality improvement
- Ensure website content reflects current service information and developments
- Manage post making sure it gets distributed quickly to relevant staff member
- Ensure copies of service insurance, risk assessments and any other official documentation is held and stored with within regulatory and procedural guidelines
- Maintain efficient and clear filing systems within the Clubs and Community service
- Ensure all communication preferences are in place for members and there is clear implementation of GDPR policy and practice
- Provide support for other Clubs and Community Administrators when they are away from the office.
