**Job overview**:
Due to recent restructure within Site Management team, we have a 37.5 hour post available to support our site/bed managers. This is to provide administrative support to the Site Management teams at Bury Care Organisation 7 days a week on a rostered basis with a 1-3 weekend working.

The Role includes setting up and maintaining an efficient office, ensuring materials and resources are reproduced in a timely manner and efficiently organised to enable maximum clinical contact time for clinical site Managers/Bed Managers.

**Main duties of the job**:
To provide administrative and secretarial support which enables the team to operate efficiently and effectively in the delivery of the patient slow across the organisation.

1.To support the Team in the completion of any required reports/assessments (i.e. typing and formatting of documents)

2.To arrange meetings and maintain diaries highlighting diary conflicts as required

3.To manage, maintain and adapt information databases

4.To maintain an ordered and organised office environment

5.To utilise exemplary IT skills.

6.To maintain competence around new IT developments/tools

7.To ensure a friendly and welcoming point of contact to service users and other professionals, giving prompt attention to their requests, directing enquiries and signposting as appropriate.

8.To deal with information in a tactful, sensitive and strictly confidential manner, showing empathy and judgement, in liaison with appropriate professionals as required.

9.To liaise with administrative staff within the Trust and other trusts around GM and also the Local Authority's

10.To develop and maintain excellent working relationships with colleagues.

11.Organises own workload effectively, ensuring a good use of time to support an efficient and timely service is delivered to children young people and families by the wider team.

12.To contribute to effective communications with patients, relatives and members of the Team

- RSA Level 3 or equivalent within administration ECDL or equivalent

**Desirable criteria**:

- Degree/further education in administration

**Experience**:
**Essential criteria**:

- Has worked collaboratively across teams, agencies, and organisational boundaries
- Previous experience of working within a Team environment
- Clinical data inputting
- Experience of undertaking a full range of administrative and clerical duties
- Development and maintenance of spread-sheets and databases/Microsoft packages

**Desirable criteria**:

- Previous experience of ordering stock and non-stock items through requisition and procurement.

**Skills and Knowledge**:
**Essential criteria**:

- Excellent Report writing skills
- Excellent written verbal and communication skills with the ability to demonstrate fluency, clarity and effectiveness
- Advanced Computer literacy skills
- Ability to problem solve
- Ability to prioritise and meet deadlines and manage a challenging workload with minimum supervision
- Be able to work on own initiative
- Understanding of safeguarding
