An opportunity has arisen for an administrator to support the statutory Child Death Review process within University Hospitals Sussex Foundation Trust.

You will work as part of the supportive children's safeguarding team and be based at a chosen hospital site with occasional cross site working as required by the role and service.

To provide efficient and confidential administrative support for the Child Death Review process across University Hospitals Sussex (UHSx).

To work alongside the hospital safeguarding teams to support the overarching safeguarding agenda and child death review process.

Take accurate notes and minutes at Child Death Review and other meetings as required.

To provide efficient and confidential administrative support with regard to enquiries from staff, patients, and clinicians.

To co-ordinate diary events and arrange meetings including room bookings, sending invitations, agendas and associated paperwork and presentations for all meetings as required.

Ensure administration work and correspondence is promptly dealt with, being aware of sensitive and contentious issues and information. Monitor the progress of any action and deadlines to be met. This will include liaising with the managers, system partners, clinicians, investigating officer, reviewers, and partner agencies.

To establish and maintain office systems and administrative procedures to achieve high standards of clerical service for UHSx child death review process team.

To maintain effective communication and working relationships within UHSx and other health organisations ; Integrated care Board (ICB) Child Death Review Team, Social Care, Coroner, Police and partner agencies to promote effective joint working.

Job responsibilities

To provide an efficient and comprehensive administrative service to support the Child Death Review Process at UHSx. The post-holder will be able to demonstrate a high level of organisational skills and a willingness to develop their role within this specialist area ensuring that a high-quality support service is developed and maintained.

- Experience or working within a diverse and challenging environment, where priorities change and adjustment to working practices are made.
- Experience in minute taking of complex formal meetings, ensuring a high degree of accuracy and comprehensiveness
- Clear communicator with excellent data entry and presentation skills, capable of constructing and delivering clear information
- Exercise personal judgement when dealing with a wide range of factors/issues that may involve managers, colleagues, stakeholders, and service users
- Plans and organises own work, resolving conflicting situations
- Ability to work under pressure and able to multi-task
- Provide and receive complex information that requires the use of persuasion and negotiation skills
- Proven organisational and planning skills
- Accuracy and attention to detail
