Women's Health Administrator

To provide a comprehensive administrative service to the Women’s Health team. The post holder will be required to provide administrative support for Clinical Business Unit operational and governance meetings as well as data inputting, data quality checking/validation collating staffing information for the department.
To work independently utilising own skills and initiative without the need for supervision, in an organised, efficient and effective manner in order to maximise the use of own time and meet tight deadlines. Post holders are expected to be flexible in their approach to the needs of the service.
Undertaking or co-ordinating high level and efficient administrative services to the CBU Management Team as required.
Providing comprehensive administration support to the Maternity Service Data Set (MSDS), contributing to the completeness and assurance of Maternity records.
Collating and inputting data for various department trackers, ensuring data is entered in a timely manner.
Being accountable for own actions and able to plan and organise own time, with reference to Line Manager when necessary.
Supporting the CBU Management Team across the whole range of their duties.
Possessing a good working knowledge of existing Trust administrative and operational policies and contributes to new ones as they are developed, including proposing changes to working practices in own area.
Confidently using all software packages used within the Trust and be willing to train others in its use. Must be highly proficient in the use of Microsoft Office.
Carrying out any other tasks as required, commensurate with the grade of the post.

Main tasks and responsibilities
Undertaking or co-ordinating high level and efficient administrative services to the CBU Management Team as required.
Providing comprehensive administration support to the Maternity Service Data Set (MSDS), contributing to the completeness and assurance of Maternity records.
Collating and inputting data for various department trackers, ensuring data is entered in a timely manner.
Being accountable for own actions and able to plan and organise own time, with reference to Line Manager when necessary.
Supporting the CBU Management Team across the whole range of their duties to include:
Establishing and maintaining filing systems (including electronic), ensuring that all information, records, minutes, and any other correspondence, is kept in a logical sequence so that it is easily retrievable, and confidentiality is maintained.
Carrying out typing including audio typing of correspondence, reports, agendas and minutes and preparing the necessary papers for meetings and tracking actions.
Assisting in the organisation and administration of project areas and coordinating meetings and briefing papers as required.
Administering corporate and departmental meetings as appropriate, including scheduling, co-ordinating agendas, taking minutes and following up actions.
Maintaining governance cycle of business and ensure schedule into various committees including tracking of policies through the approval process;
Providing, receiving and managing information electronically, verbally or in writing which may be of a confidential or sensitive nature, which may involve individual, staff or patient matters or matters of commercial confidence.
