**Job Title: Personal Assistant & Medical Secretary to Consultant Psychiatrist/Clinical Lead**

**Location: Bluebird House, Tatchbury Mount, Calmore, Southampton, Hampshire, SO40 2RZ**

**Hours: 37.5hrs per week 8-4 Mon-Fri**

**Trust Location: Southern Health Ref 73310**

**What you’ll be responsible for**:

- Provision of a comprehensive PA, medical secretarial and administrative service to the Consultant Psychiatrist/Clinical Lead for the unit and other members of the Multi-Disciplinary Team (MDT) as required.
- To support the Consultant Psychiatrist/Clinical Lead for the unit in all aspects of business management activity relating to functions and responsibilities, including the development and management of a comprehensive and efficient PA support service.
- To support the co-ordination of the key areas of business for the Consultant Psychiatrist/Clinical Lead for the unit by being proactive in ensuring relevant information is obtained, organised, collated and distributed in a timely manner.
- To manage the diaries for the Consultant Psychiatrist/Clinical Lead for the unit. To exercise judgement and discretion in the day to day handling, monitoring and filtering of appointments, enquiries, protected admin. time and clinical activities acting proactively where potential clashes/pressures are identified.
- Accurate transcription (either by direct dictation, audio or copy typing) of confidential correspondence; reports, discharge summaries, forms, minutes and any other correspondence within agreed and acceptable timescales.
- Acknowledge, compile and type all correspondence, reports and clinical documentation generated by the Consultant Psychiatrist/Clinical Lead and draft responses as appropriate. Convert tabular information into a spreadsheet and graphical format and administer any relevant databases.
