We are looking to appoint an experienced and high calibre Business Finance Executive to work within our vibrant Birmingham office.

As an experienced Finance Executive with excellent organisational, written and verbal communication skills with Finance experience to support the Business Finance Manager.

**Key responsibilities/ accountabilities**:
**Specific responsibilities**
- Creating invoices from information provided on various excel spreadsheets, once checked a hard copy/pdf is then created for issue, invoice numbers are then copied to relevant spreadsheets and the invoice saved in the relevant folder.
- Coding up of invoices received and uploading to SharePoint for onward approval and payment.
- Chasing staff ensuring that their timesheets are up-to-date and issuing an outstanding timesheets list. Any time that has been authorised and not released will require releasing.
- Weekly requesting all staff for their expense receipts to submitted by no later than Friday night ensuring that these are signed off by the relevant member of staff and are in line with the various company checks. These will then need to be released on the system if they have not already been done so, check off each relevant claim.
- Any credit notes which are required need to be sent to Abingdon Accounts via Finance Manager (form required to be completed and signed off). Reversal of invoices (these are invoices which have not officially been issued to the Client) just need the Invoice Number and Client details issuing to Abingdon and asking for the invoice to be reversed.
- Creating new job number for a project from information provided by staff. If the client is existing this needs to be checked first. Set up of standard project file template on the server.
- Regular review of all projects to ascertain when jobs can be closed. 2 step process to close historic projects.
- Project Management Job Cost system inputting of Pipeline Bids and COB when. Downloading costs for PMs.
- Checking weekly holiday/sickness against SharpOWL.
- Writing of any general time and completing time transfers for any incorrectly inputted time.
- General liaison between Building Services Office’s/Abingdon/Finance,
- Support SMT with Absence / Staff Training recording / reporting
- Setting up iHasco training system

**Administration Support Tasks**
- Undertaking other duties / responsibilities that assist the Senior Director’s or result in efficiencies within the office’s.
- Filing / archiving
- Assisting the PMs/BSM with IMS associated administrative tasks/Internal Audits

**Assisting Others**
- Undertaking any other duties / responsibilities that assist the Senior Director or result in efficiencies within the office.
- Assisting the Business Finance Manager in the financial support to the Building Services Group

**Quality Assurance**
- Assist in reviewing checking compliance with quality assurance/IMS procedures
