As a Bank Administrator you will provide high quality support and manage key administration functions to ensure effective patient safety processes and systems support the organisation in the delivery of safe and high quality care. The role will cover various duties such as:
Ward Clerk
Appointments Clerk
Medical Record Clerk
Administrators
Receptionist

The requirements of the role includes providing a comprehensive administrative function through, for example, the collation of papers, photocopying, transcribing audio, reception duties, processing patient notes etc.

We are looking for committed and confident individuals with well-developed customer service skills and aptitude to provide help and advice to other staff and be able to work with minimum supervision.

This role is a bank only position and we require individuals who are flexible to work Monday to Friday between the hours of 08:00 - 17:00.

- To provide comprehensive confidential and efficient administrative and secretarial support to the

Trust.
- To support the necessary administrative activities to enable effective secretarial practice and the efficient running of the department.
- To ensure appropriate and timely collection and input of data, processing information and generating

standard reports. The information will be used for audit, target monitoring and service improvement.
- To be responsible for the quality of data through regular monitoring and quality control procedures.
- To be responsible for scanning and archiving patient notes

MAIN DUTIES & RESPONSIBILITIES
Secretarial

Provide secretarial/administrative support to departments, including reception duties, typing, filing,
photocopying, opening and distributing mail as appropriate.

To ensure that tasks are completed promptly and to a high standard.

To support the secretariat in producing patient reports which may contain information of a distressing nature.

To receive, date-stamp and distribute incoming mail and other communications, taking action where appropriate. To process outgoing mail to ensure deadlines are met.

To make and receive telephone calls, handle enquiries competently and sensitively, take clear messages, recognise urgencies and pass messages on appropriately.

To make and prioritise appointments, arranging patient transport and special access that may be required.

Ability to use a range of office equipment eg Microsoft office, photocopier.

To use specific medical terminology.

To plan and organise workload with supervisor to ensure that service needs and priorities are met.

To be able to concentrate during periods of frequent interruption.

To work within the resources allocated to provide an efficient and effective service.

Data

To input and arrange department data and produce data summaries and/or reports.

Processing data/information using various IT systems.

Access and retrieve data/information from a variety of sources.

Work closely with colleagues to undertake the validation of clinical and non-clinical information/data.

Identify errors in the documentation submitted and refer these on to the appropriate person.

Compare the quality of any data to identify any duplication.

Must be able to work under pressure and meet strict deadlines.
Administration

To be responsible for patients’ notes and to ensure that they are maintained and regularly updated.

To be responsible for tracking patients’ medical notes and to ensure that they are returned as appropriate.

To maintain effective filing systems including the archiving and electronic storage of patient notes.

To be responsible for collecting monies received from the sale of department patient car parking
tickets.

To assist colleagues in in making-up files for new patient referrals.
