**The Administrator will**:

- Deliver efficient, accurate and timely administration support for teams across the business, as requiredArrange travel for colleagues travelling on company business in line with Fives Group DirectivesProvide back-up Reception support and give a warm welcome to visitors and those using our facilities- **
Main duties and responsibilities**:

- Book travel for colleagues including flights, hotel, car hire etc. in compliance with the Fives Group Directives, and ensuring that travellers have the necessary documentation
- Create and maintain travel records, including tracking time spent eg. in the Schengen zone- Reconcile payment statements and complete expense forms
- Organise visits to site for customers/other Fives senior managers and colleagues: including preparing letters of invitation, arranging hotels, transport, meals on site etc.
- Manage pool cars including responsibility for internal bookings, organising servicing/MOT’s/ road tax etc.
- Support in Reception as required and for holiday cover:

- answer incoming calls to the main Fives Landis Ltd switchboard
- open and distribute incoming mail and frank outgoing mail (including Special Delivery)
- prepare Visitors Badges and H&S Passports; arrange flags
- greet visitors, inform hosts of their arrival, show the H&S message, issue safety glasses and footwear where required
- set up meeting rooms and prepare refreshments etc.
- Empty recycle bins in the office area
- Replenish stationery stock etc.
- Raise Purchase requisitions on SAP
- Ad hoc project support and cover for colleagues as required- Understand own responsibilities in following Fives Golden Rules of Health Safety and act as a positive role model for good health & safety practices- Work at all times in line with Fives Values and Directives**Education and Experiences**:

- Key skills requirements:
- Previous knowledge of working in the travel industry would be ideal
- Good communication skills and the ability to build and sustain good working relationships
- Positive customer service attitude and confident skills in person, in writing and over the phone
- Present a positive impression as a first contact representative of the business
- Accuracy and with attention to detail
- Competent using SAP, M-Files and Microsoft tools including Teams
- Flexible, organised and adaptable
- Able to work to deadlines and problem-solve
- Experience of working in/supporting the Finance or Accounting function would be helpful
- Self-motivated with the drive and ability to work unsupervised
