**Aintree Hospital Job Code**: AC/347Job SummaryThe post holder will be responsible for the organisation of his / her work and time co-ordinating his/her activities in order to meet with the demands of the Anaesthetic & Theatres Directorate.The post holder will carry out the duties in such a way as to make a direct and positive contribution to the organisation of systems for general and personnel administration within the department.It is essential that the post holder exercises initiative commensurate with the role and vital that confidentiality be maintained at all times when dealing with patient/staff information. The post holder will also be required to deal with sensitive staff information both verbally and in writing.To undertake the duties of the post, it is essential that the post-holder posses a knowledge of a range of clerical procedures, software use & programmes, an understanding of medical terminology desirable.Key responsibilitiesThe duties and responsibilities listed below are not intended to be exhaustive but are set out to indicate the main areas of activity expected. The post holder therefore is expected to adopt a flexible approach and be adaptable as the theatre services expand.Responsibility of the post involves undertaking the timely recording, dissemination/returns where required to relevant departments within the Trust of the following information: Data inputting of information and the upkeep of databases within the Anaesthetic and Theatre Directorate Assist in the collection and collation of statistical data as necessary To code and enter operative procedures undertaken onto the Theatre Management System (ATMIS) using OPCS coding. To provide accurate and timely information as required.

To undertake photocopying and distribute across the Directorate Provide effective and accurate filing systems for the department. Deal with all queries, visitors, correspondence and telephone calls coming into the department in a timely, professional and sensitive manner. To receive telephone calls and the answering of doctors bleeps. Employ initiative to ensure messages and actions are prioritised and brought to the attention of the appropriate staff member with any relevant supporting information.OTHER RESPONSIBILITIES Undertake reception duties that deliver reliable consistent communication for the directorate.

Ensure visitors to the Department are received in a welcoming and professional manner Receive and distribute all incoming mail within the Departments Assist in the collection of statistical data. Collate information for meetings and other events as required, Establish and maintain effective, accurate and, where appropriate, confidential filing systems, ensuring that files can be easily retrieved Type accurate, well presented correspondence for the Theatre Clinical Business Manager and Clinical Staff as necessary. Prepare materials for presentations, as required Liaise with internal departments and external organisations relevant to the work of the Anaesthetic & Theatre Directorate. e.g.

Trusts, Hospitals and staffing agencies To make recommendations for improvements in the range of secretarial and other clerical procedures within the directorate and assist in implementation where necessary. Participate in the induction of new staff. Ensure compliance with the requirements of the Health & Safety at Work Act. Undertake IPR and produce a personal development plan In the course of the post the holder will also be required to collect data fromthe operating theatres as necessary*.It should be noted that surgery is likely to be in progress at this time.GENERAL DUTIES Any other duties that may reasonably be requested of the post holder to facilitate the smooth running of the Theatre/Anaesthetic Office.SPECIFIC SKILLS Ability to deal effectively and confidently with people at a senior level Ability to recognise the importance, confidentiality and sensitivity of issues and be able to act using the utmost discretion Must possess skills in the use critical analysis in the resolution of problems and employ initiative when deciding what issues should be brought to the attention of an appropriate manager.
