We are looking for **Executive Assistant** who will work for our NHS client at **Colchester Hospital.**

~ Hours: Part Time or Full Time (Weekdays Only - must include a Friday)
~ **System Experience Required**:Microsoft Office, particularly Word, Outlook, Excel
and Teams

Experience Required:
~Secretarial skills for preparing Agendas
~ Excellent Minute Taking Skills to support Board Committees
~ Working closely with and supported by Trust Secretary
~ Pay: £13-£15 per hour

**JOB PURPOSE**:
Working for Corporate Governance, provide a full range of high quality office organisational support services, including business and personal assistant/secretarial skills, in managing their workloads and priorities; meeting deadlines; preparing papers; minute taking; ensuring outcomes and actions from the corporate and external meetings are communicated and followed up. To maintain a professional and confidential service.

**MAIN RESPONSIBILITIES**:
~ Ensuring the support needs of the Director are met in a timely and efficient manner. This will include a wide range of duties from routine office administration (filing, photocopying, typing and so on) to the exercise of personal and professional initiative e.g. when communicating complex, confidential and sensitive information.
~ To manage and prioritise all incoming and outgoing correspondence in all forms, initiating suitable responses on behalf of the Director where appropriate
~ To receive and respond to telephone calls, redirecting calls as necessary and appropriate.
~ To draw attention to items requiring signature and providing efficient processes
~ To plan for situations that are known; and to be able to re-prioritise work to accommodate unexpected situations and interruptions.
~ To support the Director within their remit by developing local systems and routines to support
~ To act as the first point of contact for most callers, including senior staff and officers from a wide range of organisations including NHS England & NHS Improvement, the Care Quality Commission, commissioners and other healthcare organisations, determining their requirements and the appropriate process of responding
~ To exercise initiative in responding to requests for information/action, including when to respond and when to refer to the Director, particularly in sensitive situations.
~ To select, retrieve and collate papers and information for meetings, enquiries and other activities of the Director in an orderly and timely manner and in relation to the high volume, complexity and sensitivity of the workload.
~ To co-ordinate the preparation of briefing papers and reports as required and on own initiative; pulling together initial drafts for review.
~ To be well briefed in the legal implications of Data Protection and Freedom of Information legislation and to ensure own work conforms to requirements.

EXPERIENCE:

- Proven ability to take accurate minutes and notes involving complex issues
- Ensuring outcomes and actions from the corporate and external meetings are communicated and followed up
- Experience of managing conflicting and complex agendas
- Experience of working with senior management and Board members.
- Relevant experience working in a health setting, understanding the context of local change in relation to national change

QUALIFICATIONS:

- Educated to degree level or equivalent qualifications / experience in an administrative or secretarial role
- GCSE or equivalent English and MathsGeneral secretarial qualification such as a diploma or a professional certificate or equivalent
- Knowledge of the NHS

**Job Type**: Temporary contract
Contract length: 6 weeks

**Salary**: £13.00-£15.00 per hour
