We are currently looking for a Bid Coordinator to join the team, This role is an administrative role which is critical to the overall success of the bid team for Millbrook Healthcare Group. This role can be home based or out of one of our local Service Centres and may include hybrid working.
Millbrook Healthcare Group is a leading provider of Healthcare Service solutions. We work closely with NHS, Local Authority and Social Care Organisations providing a complete outsourced service that significantly reduces costs, delivers better quality and an enhanced patient experience.
**The job involves**:
The key function of this role is to project manage the smooth running of the bid process from the first identification of a bidding opportunity through to submission. It is a support position to the Head of Business Development and the wider bid team.
- Organisation of the setup of a ‘bid kick-off’ meetings as required. Organising the agenda and attendees, arranging rooms or conference calls and any further scheduled meetings of the bid team at key stages if necessary.
- Coordinate all bid related activities for the entire bid team, from commencement to delivery.
- Manage the contracts in-box and various bid portals.
- Manage lines of communication between various bid stakeholders.
- Ensure that responses are posted in good time.
- Engage with the identified Subject Matter Experts (SMEs) and Bid Writers.
- Set up, populate, update and publish a bid tracker to ensure the bid team are aware of the schedule
- Follow up with the Bid Writers and SMEs, prompting for updates where timelines are lagging
- Escalating issues regarding delayed SME contributions to the Bid Manager/Bid Director
- Ensure co-ordinated, centralised, management of the template and the bid content
- Support Bid Writers with collating and formatting content into the template
- Manage bid document version control
- Coordinate with the bid team graphic designer, arrange printing of any hard copies
- Ensuring a bid delivery plan is in place and that the team is aware of their role in the bid delivery and have availability
- Keep accurate historic bid records (outcomes, win, losses) and produce KPI reports for the wider business
- Manage and maintain the contents in the bid library
- Respond to pre-qualification questionnaires and populate selection questionnaires
**About you;**
- Excellent verbal and written communication skills
- High attention to detail.
- Deadline driven with effective organisational and time management skills.
- Ability to thrive in a busy environment
- Must be able to multitask and prioritise workload.
- Be familiar with the Microsoft suite of tools and other software which add value to bid creation.
- Experience in the required business sector highly desirable
- Previous bid team involvement an asset
- Experience and an understanding of tendering in both the public and commercial sector is desirable.

- £31,500.00 Per Annum
- 40 hours Monday - Friday 08.30 - 1700
- 33 days holiday (including bank holidays) plus optional 5 days unpaid.
